Why General PM Tools Fall Over on a Building Job

Run a building project through a general project management tool and the scheduling works fine. Then you need to track costs against a budget, handle CIS deductions for your subbies, or find the current revision of a drawing, and it stops working.

Construction needs software that understands retentions, variations, and the fact that half your team is on site trying to log progress on a phone with muddy hands.

This is a comparison of the options that actually suit UK firms, including the pairings of general tools with CIS-capable accounting software, which is how most small firms end up working.

What the Software Has to Handle

Job costing, tracking spend against budget at a level that lets you spot a problem before the job ends.

Subcontractor management, covering scheduling, progress and the compliance side.

Drawings and documents, with version control that survives contact with a site team.

Mobile use that works on site rather than a cut-down app.

CIS and VAT, which is where UK-specific requirements bite, and which deserves its own section before the picks.

The CIS and Reverse Charge Question

Ask this before anything else, because it decides your stack.

Under the Construction Industry Scheme you verify subcontractors with HMRC, deduct at 0%, 20% or 30% depending on their status, and file a monthly return by the 19th. Two things changed recently and are worth checking your process against.

Nil returns are required again. The obligation was removed in 2015 and reinstated from 6 April 2026, so a month with no payments to subcontractors needs either a return or an advance inactivity request. The full late filing penalty regime came back with it.

The VAT domestic reverse charge is a separate capability from CIS deductions. It has applied to most construction services between VAT-registered businesses since March 2021, and it is routinely left out of software checklists. A package that handles CIS does not necessarily invoice correctly under the reverse charge, so ask about both.

If you are a limited company working as a subcontractor, you also need CIS suffered handled, since those deductions are reclaimed against your PAYE bill through the EPS rather than through your Self Assessment.

None of the dedicated construction platforms below handle CIS natively. That is not a flaw so much as a division of labour: they manage the project, your accounting software manages the scheme.

1. Buildertrend: Best All-Rounder for Small and Medium Builders

Best for: general contractors, housebuilders and renovation firms wanting one platform end to end.

Buildertrend covers the full lifecycle from client proposal to final invoice. The scheduling is built for construction, with dependencies, weather delays and subcontractor availability handled properly rather than bolted on.

Job costing is strong: budgets per job, actuals against estimates, and variance flagged early. The subcontractor portal lets subbies log their own progress and upload documentation. Document storage handles drawings with version control, and the mobile app copes with patchy signal.

CIS: not native. You will run CIS in your accounting software and connect the two.

Pricing: Buildertrend is a US company and publishes its pricing in dollars, with tiered plans licensed for the company rather than per seat. Any sterling figure you see on a comparison site is a conversion, and it moves. Get a current quote in the currency you will actually be billed in.

2. Procore: Best for Larger SMEs and Main Contractors

Best for: firms running several sites at once, or commercial work with heavy documentation.

Procore is the heavy machinery. RFIs, submittals, drawing sets, specifications and daily logs all have proper workflows and version control, which matters when you are coordinating architects, engineers and a main contractor.

Job costing tracks committed costs, meaning purchase orders and subcontractor agreements, alongside actuals, which gives a far clearer forward view than actuals alone. Subcontractor management includes bid management, contracts and compliance tracking.

CIS: not native, same as Buildertrend.

Pricing: custom, based on your annual construction volume rather than seats, which suits larger teams and makes it expensive for small ones. You will need a quote.

3. Xero Plus Xero Projects: Best if CIS Is the Real Problem

Best for: self-employed builders and small firms who need the scheme handled properly first.

If you run a handful of jobs, you may not need a construction platform at all. What you definitely need is CIS handled correctly, and Xero does that: verification, deductions, monthly returns filed to HMRC, and CIS suffered.

Xero Projects adds basic project tracking, time logging and job costing. It will not give you Gantt charts, a subcontractor portal, drawing management or site reporting. Pair it with a light PM tool for scheduling if you need those.

Pricing: Xero’s UK plans run from £16 a month on Ignite to £65 on Ultimate, excluding VAT. Note the plan names: Xero renamed its range, so guidance referring to Starter, Standard, Premium or Established is describing tiers that no longer exist. Which plan carries CIS and Projects, and whether CIS is an add-on, is worth confirming on Xero’s own plan page before you buy, because it decides your actual monthly cost.

4. Zoho Projects Plus Zoho Books: Best Value Pairing

Best for: small firms wanting capable PM and accounting in one ecosystem without a construction platform’s price tag.

Zoho Projects gives you Gantt charts, dependencies, time tracking, document storage and a reasonable mobile app. There is no RFI workflow and no drawing version control, so this suits straightforward residential work rather than complex commercial jobs.

Zoho Books is HMRC-recognised and priced per organisation rather than per user, which is unusual and helpful: Free, then £10 a month on Standard billed annually or £12 monthly, £20 or £24 on Professional, £25 or £30 on Premium. Job costs flow from Projects into Books without re-keying.

CIS: confirm it directly with Zoho for your plan and region before committing, along with reverse charge handling. This is the single thing to test in a trial if you go this route.

Pricing: Zoho Projects has a free tier for a very small team and inexpensive per-user paid plans. Check current figures on Zoho’s UK site.

5. monday.com: Only if You Already Use It

Best for: firms already running monday.com who want to extend it rather than migrate.

Being straight about it: monday.com is not construction software. No job costing, no CIS, no drawing management. What it does have is flexibility, good mobile apps, solid integrations including Xero and QuickBooks, and scheduling that works.

Pricing: at ten seats billed yearly, Basic is £8 per seat a month, Standard £11 and Pro £17, with a free plan capped at two seats. Two things shape the real cost: automations start on Standard and time tracking starts on Pro, so the construction-relevant features sit above the entry tier, and minimum seat counts apply, which pushes up the effective price for a one or two person firm.

What you need alongside it: CIS-capable accounting software and somewhere to keep documents, which for a small team can be as simple as SharePoint or Google Drive.

Which Accounting Software Handles CIS

Since none of the PM platforms do it, this is where the decision actually lands.

QuickBooks includes CIS calculation and submission on every plan, including Sole Trader Plus at £10 a month excluding VAT. That is the cheapest confirmed route into compliant CIS handling.

Xero supports CIS, with the tier or add-on question noted above.

Zoho Books is worth checking directly, as above.

Whichever you choose, confirm three things in the trial: CIS deductions and verification, monthly returns including nil returns, and correct invoicing under the VAT domestic reverse charge.

FAQ

Does construction PM software handle CIS automatically?

Generally not. Buildertrend and Procore do not handle CIS natively, so the scheme lives in your accounting software. Verify it with the vendor rather than assuming, and ask about the VAT reverse charge in the same conversation.

Is there a minimum number of users?

It varies, and it matters most for very small firms. monday.com applies minimum seat counts, Buildertrend licenses the company rather than seats, and Xero and Zoho charge per plan or per user. Check before comparing headline prices.

Do I need construction-specific software at all?

For simple residential jobs with a small team, a general PM tool plus CIS-ready accounting is usually enough. For multiple subbies, heavy documentation and detailed job costing, a construction platform earns its cost in avoided errors.

Are these tools Making Tax Digital compliant?

The PM tools are irrelevant to MTD, which applies to VAT and Income Tax rather than scheduling. Your accounting software carries that. MTD for Income Tax has applied since April 2026 to sole traders with qualifying income above £50,000, dropping to £30,000 in April 2027, so a self-employed builder over those thresholds is reporting quarterly as well as filing CIS returns monthly.

What happens if I file a CIS return late?

The late filing penalty regime applies from the day after the 19th, and since April 2026 that includes months where you paid no subcontractors unless you have told HMRC the scheme is inactive.

The Honest Recommendation

There is no single best answer, and the deciding factor is usually CIS rather than project management.

If CIS and accounting are the pain, start there. QuickBooks handles CIS on every plan from £10, Xero handles it with a tier question to resolve, and Zoho Books is worth testing. Build the project management around whichever you choose.

If you are a growing SME running several jobs, Buildertrend is the most rounded construction platform, with the CIS workflow living in your accounts package alongside it.

If you are a main contractor with complex documentation and multiple stakeholders, Procore is the one built for that, at a price that reflects it.

And do not let a flexible general tool persuade you it has solved CIS. It has not. Sort the scheme first, then choose how you schedule.

Pricing and features correct at time of writing. Plans and capabilities are subject to change, so always confirm current details on the provider’s website before purchasing, and check both currency and VAT treatment at checkout. The CIS and tax points here are general information rather than advice; speak to a qualified accountant about your own obligations.
