Transpond vs Brevo for UK Small Business: Which Email Marketing Tool Is Right for You?

Two Pricing Models, Not Two Feature Lists

Transpond and Brevo are both credible choices for a UK small business, and comparing their features misses the point. They charge on different bases.

Transpond charges for the contacts you store. Brevo charges for the emails you send. That single difference decides which one is cheap for you, and it can swing the answer by a wide margin in either direction.

This is a comparison of the two models, with the features that genuinely differ, and a steer on which suits which kind of business.

What Transpond Is

Transpond is an email marketing platform from the same company as Capsule CRM, and that heritage is the point.

If you use Capsule, Transpond gives you a native two-way sync between CRM contacts and marketing lists. Not a one-off import: segments update as the CRM data changes, so a contact who becomes a customer in Capsule lands in the right segment without anyone touching it.

Without Capsule it still works as a standalone tool, with a clean builder, automation, landing pages and reporting, aimed at people who do not want a learning curve.

Pricing model: contact-based. You pay for list size, not send volume.

Transpond bills in pounds, with a USD and GBP toggle on its pricing page, which is where dollar figures in other comparisons come from. Per month, billed annually:

PlanAnnualUsersAdds
Starter£7.203AI-generated templates and copy, optimised sending, scheduled social posts
Growth£14.405A/B testing, engagement-based sending, multiple social accounts
Advanced£40.5010AI website assistant, web tracking for up to 10 sites
Ultimate£67.50UnlimitedEverything, plus conversations agent reporting

Annual billing saves up to 10%, so monthly works out at roughly £8, £16, £45 and £75.

The contact slider is the thing to check, and it is more forgiving than expected: those prices are identical at 250 contacts and at 1,000. Move the slider to your own list size before budgeting, since the bands rise somewhere above that.

What Brevo Is

Brevo, formerly Sendinblue, is broader: email, transactional email, SMS, WhatsApp campaigns, live chat and a basic CRM in one place. It serves everything from sole traders to mid-sized companies.

Pricing model: send-based. Its free tier is built around a daily sending cap rather than a contact limit, and paid plans are banded by monthly send volume. Confirm the current caps and bands directly, because Brevo revises them and the published figures move.

The Core Difference in Practice

Large List, Infrequent Sender

A small accountancy practice with 5,000 contacts built up over years, sending a monthly newsletter and the odd seasonal update. Perhaps 10,000 emails a month.

Contact-based pricing charges you for all 5,000 whether you email them or not. Send-based pricing charges for the 10,000 sends and ignores the dormant list.

Brevo’s model wins here, often decisively. You are paying for the list you are barely using.

Small List, Frequent Sender

An online shop with 1,000 contacts, emailing hard: promotions, abandoned cart flows, back-in-stock alerts. Fifteen emails per contact a month is 15,000 sends.

Now the arithmetic flips. Contact-based pricing charges you for 1,000 contacts regardless of frequency, while send-based pricing charges for every one of those 15,000 emails.

Transpond’s model wins here, and the gap widens the harder you mail.

The Capsule User

Not a close call. The live sync means segmentation is driven by real CRM data: deal stage, tags, last activity, custom fields. Building a segment of leads who have not heard from you in 60 days takes seconds, with no exports and no reconciliation.

Transpond, on integration grounds alone.

The general rule: work out your sends per contact per month. Below roughly one or two, send-based pricing usually wins. Well above that, contact-based pricing usually does.

Features That Actually Differ

Automation. Transpond covers welcome sequences, drip campaigns and trigger-based flows competently. Brevo goes further, with multi-step workflows, email and SMS in the same sequence, and web-behaviour triggers.

Transactional email. Brevo handles it natively: order confirmations, password resets, booking notifications. Transpond is a marketing tool and does not position itself for this. For a WooCommerce or Shopify store wanting one platform for both, that is decisive.

SMS. Brevo has it, including inside automations. Transpond does not.

CRM. Transpond’s Capsule integration is deeper than anything Brevo offers with any single CRM. Brevo has a basic built-in CRM and connects to others through integrations and Zapier.

Builder and templates. Both are drag-and-drop and need no code. Brevo’s template library is larger; Transpond’s builder is simpler, which suits beginners.

Reporting. Both cover opens, clicks and unsubscribes. Brevo goes deeper at higher tiers. Neither is an analytics platform, which is fine for most small businesses.

UK Compliance

Both handle the mechanics: consent capture, unsubscribe links in every message, and suppression lists that stop opted-out contacts receiving anything further.

What matters beyond the mechanics is evidence. Under PECR you need consent or a valid soft opt-in before emailing individuals, including sole traders and unincorporated partnerships, and under UK GDPR the burden of proving consent sits with you. Whichever platform you choose, check that it records when each contact subscribed, through which form, and what the opt-in wording said at the time.

Worth knowing if you are weighing how carefully to treat this: the maximum fine for breaching PECR’s marketing rules rose from £500,000 to £17.5 million or 4% of global turnover on 5 February 2026, and the old requirement to show substantial damage or distress was removed.

Neither tool does anything for Making Tax Digital, which is accounting software territory. Both publish data processing agreements; check data storage locations if that matters to you.

Ease of Use

Transpond is quick to start with, particularly coming from Capsule, and the interface does not bury you in options you will never use.

Brevo has more surface area and a slightly steeper curve. The dashboard feels busy if you only want email. Neither is hard, and most owners are running within an afternoon.

Which for a Sole Trader?

If you want a free starting point and your sending is modest, Brevo’s free tier gives you a way to run a newsletter without paying, subject to its daily cap.

If you already use Capsule, Transpond at £7.20 a month billed annually covers lists up to at least 1,000 contacts, which is a small spend for a live CRM sync and will save more time than it costs.

FAQ

Is Transpond priced in dollars?

Only if you choose to see it that way. The pricing page has a USD and GBP toggle, and UK customers pay in pounds. Comparisons quoting dollar figures are showing the USD view rather than what you will be billed.

Does Transpond work without Capsule CRM?

Yes, as a standalone platform. You lose the integration that is its main differentiator, so judge it on the builder, automation and price rather than on the CRM story.

Does Brevo have a free plan?

Yes, built around a daily send limit rather than a contact cap, with Brevo branding on emails. Confirm the current daily allowance and paid bands on Brevo’s site, since they change.

Which suits a WooCommerce or Shopify store?

Brevo, because it handles marketing and transactional email in one place and integrates with both platforms. Transpond is not built for transactional sends.

How do I work out which is cheaper for me?

Two numbers: your contact count and your monthly sends. Divide the second by the first. A low ratio favours Brevo’s model, a high one favours Transpond’s, and the crossover depends on the current bands, which is why you price both against your own figures rather than a scenario in an article.

Transpond vs Brevo: The Verdict

Choose Transpond if you use Capsule CRM, if you have a small or medium list that you email often, or if you want something clean with confirmed sterling pricing and no surprises.

Choose Brevo if you hold a large list you rarely mail, if you want to start free, if you need transactional email or SMS, or if you run an e-commerce store.

Neither is a bad choice. Work out your sends per contact, price both models against it, and the answer will be obvious.

Pricing and features correct at time of writing. Plans and capabilities are subject to change, so always confirm current details on the provider’s website before purchasing. Transpond prices hold from 250 to 1,000 contacts and rise on larger lists; check VAT treatment at checkout.
