The Free Plan Is Capped at Five Users
The question most people arrive with is whether Clockify’s free plan is still the unlimited-user offer it was famous for. It is not, and the answer is settled rather than uncertain.
The Clockify free plan is limited to five active users, including the workspace owner. The cap came in around April 2026, and on a new workspace any users above five are deactivated once the seven-day trial ends unless you upgrade.
That single change reshapes the decision. Clockify’s free tier was the best in the category precisely because it did not count heads. Now it does, and a six-person team is a paying customer.
A second change landed at the same time and matters more than it sounds: kiosk mode moved from free to paid. If you were planning to clock shift staff in on a shared tablet without paying, that route closed.
Here is what every plan costs, in sterling as well as dollars, and what you actually get at each level.
How Clockify’s Pricing Works
Clockify charges per seat, per month, in US dollars. You can pay monthly or annually, and annual billing saves close to 20% across every tier.
Converting to Sterling, the Right Way Round
Worth being careful here, because the usual advice on this has the arithmetic inverted.
A dollar price converts to a smaller sterling number, because a pound buys more than a dollar. At the rate in late October 2026, around £1 = $1.33, the Standard plan’s $5.49 is about £4.13 — roughly a quarter less than the dollar figure, not more.
What does add to your bill is VAT at 20%, applied after conversion. So $5.49 becomes about £4.13, then £4.95 including VAT.
The guidance to “budget a 20–25% uplift when converting to sterling” conflates the exchange rate with VAT and points the conversion the wrong way. Follow it and you would over-budget by around a third.
Sterling figures below use $1.33 as an illustrative rate. It moved between about 1.31 and 1.37 over August to October 2026, so treat them as indicative and check the rate when you buy. Your card may also add a foreign transaction fee.
Every Clockify Plan and What It Costs
Per seat, per month. Sterling converted at $1.33 and shown before VAT.
| Plan | Annual (USD) | Annual (approx GBP) | Monthly (USD) | Monthly (approx GBP) |
|---|---|---|---|---|
| Free | $0 | £0 | $0 | £0 |
| Basic | $3.99 | £3.00 | $4.99 | £3.75 |
| Standard | $5.49 | £4.13 | $6.99 | £5.26 |
| Pro | $7.99 | £6.01 | $9.99 | £7.51 |
| Enterprise | $11.99 | £9.02 | $14.99 | £11.27 |
| CAKE.com Bundle | $12.99 | £9.77 | $15.99 | £12.02 |
Six plans, not five. The CAKE.com Bundle is routinely left out of Clockify pricing guides, and it is the top of the range rather than Enterprise.
Add 20% VAT to the sterling figures for your actual cost. Standard annual, the tier most small UK businesses land on, works out at roughly £4.95 per seat per month including VAT.
Free Plan: What You Get, and What April Took Away
Five users including the owner. Within that, you get a genuinely capable tracker:
- Unlimited time tracking
- Timesheets, though you cannot lock them
- Auto tracker and calendar
- Web, desktop and mobile apps
- Basic reports
- Team activity and dashboard
What sits behind a paid plan, and what catches freelancers out:
- Billable rates. This is the one to notice. If you bill clients by the hour, rate-based billing is a paid feature, which undercuts the free plan for exactly the audience that wants it most.
- Bulk edit, adding time for others, required fields, project templates
- Time estimates, breaks, export and sharing, importing time or users
- Kiosk mode, as of April 2026
- Advanced reporting and analytics
Free accounts may also carry Clockify branding, exports can be restricted or watermarked, API access is limited, and support is community forums or email with slower responses.
Who the free plan still suits: a sole trader tracking their own hours for their own records, or a team of up to five with simple needs who do not need billable rates. Anyone invoicing by tracked time is looking at Standard.
Basic — $3.99 annual, $4.99 monthly
The first paid tier, and a thin one. It adds bulk edit, adding time for others, required fields so a project or task must be set before an entry saves, project templates, and extra export options.
It is also the cheapest plan that unlocks kiosk mode and limited member seats, which is now its main reason to exist for shift-based businesses.
For a sole trader or micro-business, Basic rarely justifies itself over free unless required fields solve a specific data-quality problem, or you need kiosk.
Standard — $5.49 annual, $6.99 monthly
Where Clockify becomes a business tool, and the tier most small UK businesses should budget for. Roughly £4.95 per seat per month including VAT on annual billing.
Adds over Basic:
- Timesheet approvals — submission and sign-off, rather than just timesheets
- Invoicing — generate invoices from tracked time
- Time off management — holiday and leave
- Targets and estimates — budget and hour estimates per project
For an agency, consultancy or anyone billing by time, this is the practical minimum. The combination of billable rates and invoicing is the thing that pays for the subscription.
Pro — $7.99 annual, $9.99 monthly
Aimed at growing teams and anyone who needs to see profitability.
- Scheduling — shift assignment on a visual calendar
- GPS tracking — where time is logged from, though note it has no geofencing, so you cannot trigger clock-ins by location
- Profitability tracking — billable amounts against labour costs, plus expense tracking
- Custom fields
- Forecasting
- Kiosk photo capture
Profitability tracking is the underrated one. Knowing which clients cost more than they return is genuinely useful, and few tools at this price expose it. For trades and field-based teams the GPS is the draw, but check the geofencing gap against what you actually need.
Enterprise — $11.99 annual, $14.99 monthly
Single sign-on, audit logging, a custom subdomain and enterprise support. Relevant if you are in a regulated sector or have IT governance requirements. For most small UK businesses it is overkill.
The CAKE.com Bundle — $12.99 annual, $15.99 monthly
The plan most guides omit. It bundles Clockify with Pumble (team messaging) and Plaky (project management), both from the same parent company.
Worth a look only if you would genuinely use all three. At £9.77 before VAT it is a dollar more than Enterprise, so if you want Clockify alone, Enterprise is the top tier you care about.
Limited Member Seats: Cheap, But Not Standalone
Limited members are users without an email address who can only clock in and out through a kiosk — shift staff at a shared tablet, or historical time added for former employees.
They cost from $0.79 per seat, against from $3.99 for a full seat. About £0.59 before VAT.
The condition usually left out: this is a paid feature requiring a Basic plan or higher. You cannot run limited members on the free plan. Downgrading to free, or letting a trial lapse, deactivates them.
So the real cost for a hospitality or care business with ten kiosk-only staff is at least one full Basic seat plus ten limited seats — roughly $4 plus $8 a month, not $8. Still cheap, and still the right answer for shift workers, but it is not a way to avoid a subscription.
Clockify’s own documentation gives the figure as “from $0.79/seat” without stating the billing period, so confirm it is monthly before you plan around it.
UK Specifics Worth Knowing
VAT. Clockify charges VAT to UK customers, so check the inclusive price at checkout. If you are VAT registered, that is recoverable input VAT like any other software subscription.
Annual billing. Saves close to 20% on every tier, but annual plans are typically non-refundable. Test on monthly first.
Making Tax Digital. Clockify is a time tracker, not accounting software. It does not connect to HMRC and has no MTD function, and the question does not really apply to it.
What does apply is the regime around it. MTD for Income Tax has been live since 6 April 2026 for sole traders and landlords with more than £50,000 of qualifying income, measured on gross income before expenses, falling to £30,000 in April 2027 and £20,000 in April 2028. In scope you file quarterly updates by 7 August, 7 November, 7 February and 7 May, then a Final Declaration by 31 January.
For anyone billing by the hour that makes clean time-to-invoice records a quarterly concern rather than an annual one. Clockify integrates with Xero, QuickBooks and FreeAgent, and that handoff is where it earns its place. Our FreeAgent review and guide to MTD for VAT against MTD for Income Tax cover that side.
Data residency. If where your data sits matters to you or your clients, ask for Clockify’s data processing agreement and confirm the hosting location directly rather than relying on third-party summaries, including this one.
Alternatives
Briefly, and directionally — these move, so check before deciding:
- Toggl Track — cleaner interface, free tier worth comparing now that Clockify’s is capped
- Harvest — strong on invoicing, more expensive. Our Clockify and Harvest comparison covers this one properly
- TimeCamp — competitive, agency-oriented
- Timely — automatic AI tracking, premium pricing
Clockify’s case is depth of features per pound, particularly at Standard. The five-user free cap has weakened its position at the very small end, which is worth factoring in if a free tier was the reason you were looking.
FAQ
Is Clockify still free?
Yes, for up to five users including the owner. The unlimited-user free plan ended around April 2026. Kiosk mode and billable rates also moved to paid tiers.
How much is Clockify in pounds?
At roughly $1.33 to the pound: Basic about £3.00, Standard £4.13, Pro £6.01, Enterprise £9.02, Bundle £9.77 per seat per month on annual billing, before VAT. Add 20% VAT — Standard works out near £4.95 per seat per month.
Does converting from dollars make it more expensive?
No, and this is a common confusion. A dollar price converts to a smaller sterling figure. VAT is what adds roughly 20%, after conversion.
How many plans does Clockify have?
Six: Free, Basic, Standard, Pro, Enterprise and the CAKE.com Bundle. The Bundle is the most expensive and adds Pumble and Plaky.
Which plan do I need to invoice clients from tracked time?
Standard. Invoicing and timesheet approvals both sit there, and billable rates are not on the free plan.
Can I use kiosk clock-in cheaply?
Limited member seats are from $0.79, but they require a Basic plan or higher — you cannot run them on free. Budget at least one full seat plus your limited seats.
Does GPS tracking include geofencing?
No. Pro gives you location of time entries but not geofenced automatic clock-ins. Check that against your requirements if you have mobile workers.
Does Clockify work with Making Tax Digital?
Not directly, and it is not meant to. It integrates with Xero, QuickBooks and FreeAgent, which handle MTD filing.
Is annual billing worth it?
It saves close to 20%, but annual plans are generally non-refundable. Run a month on monthly billing first.
Is Clockify Worth It for UK Businesses?
Clockify remains good value on the paid tiers, and the per-seat prices are competitive for the feature depth — particularly Standard at around £4.95 a seat including VAT.
The honest change is at the free end. The five-user cap and the loss of kiosk and billable rates from the free plan have made Clockify meaningfully less attractive to the smallest teams, which is exactly who used to recommend it most loudly. If a generous free tier was why you were looking, compare Toggl Track before committing.
Where to land:
- Sole trader tracking own hours, not billing by time: free plan, within five users
- Freelancer billing by the hour: Standard, because billable rates and invoicing are both paid
- Small agency or team: Standard, moving to Pro if you need profitability or scheduling
- Shift or mobile workers: Pro for GPS, plus limited member seats at $0.79 on top of at least one Basic seat
- Wanting messaging and project management too: price the CAKE.com Bundle against buying separately
