BambooHR Pricing UK Explained: What It Actually Costs and How to Get a Fair Quote

Why You Cannot Find a BambooHR Price for the UK

Search for BambooHR pricing UK and you get vagueness, stale figures, or US dollar rates presented as though they translate into a British invoice. The reason is simple: BambooHR does not publish a UK price list. It quotes on request, and what you pay depends on a handful of factors worth understanding before you speak to anyone.

This guide sets out how the pricing model is structured, the threshold that catches small teams out, which add-ons are irrelevant to UK buyers, and the questions to ask on the call so the first invoice holds no surprises.

What BambooHR Is, and Who It Suits

BambooHR is a cloud HR platform aimed at small and medium-sized businesses. It covers the core functions a growing company needs: an employee database, onboarding workflows, document management, time-off tracking and performance tools, with applicant tracking built into the platform rather than sold separately.

It suits businesses that have outgrown spreadsheets but do not need enterprise HR. In the UK that usually means somewhere between 10 and 500 employees, though smaller teams use it too, subject to the pricing floor below.

It is a US company. It serves UK customers and connects to UK payroll providers through integrations, but it is not a UK-native product, and that shows up in payroll and statutory leave rather than in the interface.

How the Pricing Model Works

Quoted, Not Published

You fill in a form or speak to sales, and they build a quote around your headcount, plan and add-ons. This is normal at this end of the market: HiBob and Personio work the same way. The downside is that comparison is harder. The upside is that a quote is a negotiation rather than a checkout.

Not every vendor does this, which is worth knowing before you assume it is unavoidable. Sage HR publishes UK pricing at £5 per employee per month excluding VAT for its core plan, and Breathe HR publishes its plans openly too. If you want a number you can model before you talk to a salesperson, those exist.

Per Employee Per Month, With a Floor Underneath

Pricing is per employee per month, so the bill scales with headcount. That matters for planning: a business going from 20 to 50 people over 18 months should model the software cost rising with it.

The detail that catches small UK buyers out is the minimum. Third-party buyer reports consistently describe a flat monthly charge covering teams up to around 25 employees, with per-employee rates applying above that. If those reports are right, a ten-person company and a twenty-five-person company pay the same, and the effective per-employee cost for a small team is far higher than any headline rate suggests.

Those same reports put the US list rates in the region of ten dollars per employee per month for the entry plan, rising through the tiers, with the flat minimum around two hundred and fifty dollars a month. Treat all of that as background on how the model behaves, not as a UK price. It is dollar-denominated, third-party sourced, and not what will appear on your quote.

Three Tiers: Core, Pro and Elite

BambooHR sells three plans, not two.

Core is the entry tier: the employee database, self-service, time-off management, onboarding, standard reporting and applicant tracking.

Pro adds the people-management layer, typically performance reviews, goal tracking, surveys, custom workflows and stronger reporting.

Elite sits above that for larger mid-market buyers, adding compensation tools, benchmarking, deeper integration and premium support.

The steps between tiers are meaningful in price, so decide which features you actually need before the call. It is easy to be walked up to Pro when Core covers what you do.

Add-Ons, and the Ones UK Buyers Can Ignore

Payroll. BambooHR’s native payroll is available in the United States only. UK businesses cannot use it and must run payroll elsewhere, connecting the two through an integration. Budget for that payroll subscription separately, and treat any US payroll pricing you read as irrelevant to you.

Benefits administration. Also US-centric, built around American benefits structures. Ask specifically what, if anything, applies to a UK workforce before you let it into the quote.

Time tracking. Recording hours worked, as opposed to managing time-off requests, is generally a paid add-on rather than part of the base plan. If you run shifts, bill by the hour or need attendance records, price it in from the start.

Performance management. Depending on tier, this sits either in Pro and above or as an add-on. Pin down which applies to the plan you are being quoted.

What Moves Your Quote

Headcount is the biggest lever, and the one you cannot argue with. Plan tier is next, then the add-ons you agree to, then contract terms. Reports differ on whether BambooHR requires an annual commitment or offers month-to-month, so ask directly and ask what each costs rather than assuming a twelve-month term is the only option or that it automatically buys a discount.

Then negotiate. A quote for a reasonable number of employees usually has some give in it, particularly at renewal or against a competing quote.

What to Ask on the Sales Call

  1. What is the per employee per month rate for each tier, in pounds? Ask for the rate, not just a total, so you can model growth.
  2. Is there a minimum monthly charge or a minimum headcount, and where does the per-employee rate start applying?
  3. What exactly sits in Core, what needs Pro, and what needs Elite, for the specific features I have named?
  4. Which add-ons are available to UK customers, and which are US-only?
  5. Which UK payroll products does the integration support, and does data flow into Real Time Information submissions without manual work?
  6. How are UK statutory leave types handled: are they pre-configured or do we build them?
  7. What happens to billing if headcount rises mid-term? Rebilled immediately, at renewal, or something else?
  8. What is the contract term, what are the cancellation terms, and what is the difference in price between monthly and annual?
  9. Is trial access available, or only a demo?

UK Compliance: What It Does and Does Not Do

Payroll reporting. UK payroll reports to HMRC under Real Time Information, with a Full Payment Submission on or before each payday. That is not Making Tax Digital, which covers VAT and Income Tax and has nothing to do with payroll. BambooHR does neither: it is an HR platform, so the RTI obligation sits with your payroll software and any MTD obligation sits with your accounting software.

Statutory leave. Ask whether UK leave types are configured or whether you are building them. The list is longer than many US-designed defaults assume: maternity, paternity, adoption and shared parental leave, plus carer’s leave from April 2024 and neonatal care leave from April 2025. Statutory sick pay changed in April 2026 and is now payable from day one, with the three waiting days and the lower earnings limit test both gone, so any absence logic built around waiting days is out of date.

Right to work. Civil penalties rose in February 2024 to £45,000 per illegal worker for a first breach and £60,000 for repeats. Ask to see document storage, expiry alerts and the audit trail rather than assuming a file upload field covers it.

Data protection. Ask where employee data is stored and processed, ask for the data processing agreement in writing, and ask which transfer mechanism covers data going to the United States, since that is a UK GDPR question you own rather than the vendor.

Alternatives Worth Pricing Alongside It

Sage HR publishes UK pricing and is built around UK employment structures, with native links to Sage payroll. At £5 per employee per month excluding VAT for the core plan plus modules, you can model it before you talk to anyone.

Breathe HR is popular with small UK businesses, publishes its pricing, and is designed around UK employment law.

HiBob and Personio both sell to UK scale-ups and mid-market buyers, and both are quote-based, so expect the same process you get with BambooHR.

FAQ

Does BambooHR publish its UK pricing online?

No. You request a quote. Be careful with third-party sites quoting specific figures, because most are US dollar rates, out of date, or estimates presented as fact.

Is BambooHR priced per employee per month?

Yes, above a minimum. Reports describe a flat monthly charge for teams up to around 25 people, with per-employee rates applying beyond that. If you are a small team, ask for the effective cost per employee at your actual headcount before comparing it with anything else.

Can BambooHR handle UK payroll and HMRC submissions?

No. Its native payroll is US-only. You need separate UK payroll software, connected by integration, and that software is what must handle RTI submissions.

Does BambooHR make us Making Tax Digital compliant?

No, and no HR platform does. Making Tax Digital applies to VAT and Income Tax, so it is a question for your accounting software, not your HR system or your payroll.

Is there a free trial in the UK?

BambooHR runs demos, and trial access is reported by some users but not advertised as standard. Ask directly before committing.

BambooHR Pricing UK: The Bottom Line

BambooHR is a capable platform, and for employee records, onboarding and time off it is one of the better-designed products in its class. Two things should shape how you approach the price.

First, the cost is opaque until you engage with sales, and the number that matters is your headcount multiplied by a rate you have to extract from them, plus add-ons. If you are under about 25 people, ask about the minimum charge first, because it may make the effective per-employee cost uncomfortable.

Second, it is a US product with a real gap for UK buyers: no native payroll, so you are buying a second product whatever happens, and statutory leave that may need configuring rather than arriving ready.

Request the quote, work through the questions above, and put it beside at least one UK-priced alternative before deciding. It may still win. It should not win by default.

Pricing and features correct at time of writing. Plans and capabilities are subject to change, so always confirm current details with the provider before purchasing.
