What to Check Before Buying BambooHR in the UK

Most of This You Can Answer Before the Demo

The standard advice for buying BambooHR in the UK is a list of questions to put to the sales team. That is sound as far as it goes, and it wastes a demo on things that are already knowable.

So this splits the checklist in two. First, what is already settled — pricing, plan structure, the payroll gap, and the UK legal position as it stands today. Then the questions that genuinely vary and are worth your half hour with a salesperson.

Two corrections to start with, because they appear in almost every version of this checklist. BambooHR does publish pricing, in US dollars. And it has no minimum employee count — the barrier is a flat fee, which is a different problem.

What It Costs: Answered

Three plans, not two. They are Core, Pro and Elite. Essentials and Advantage are retired names that still circulate.

Plan25 or fewer employeesMore than 25
Core$250/month flat$10 per employee
Pro$425/month flat$17 per employee
Elite$650/month flat$25 per employee

The structure is the thing to understand. Below 26 employees you pay a flat monthly fee regardless of headcount — roughly £200 a month at the entry tier in sterling. Three employees or twenty-three, the bill is the same. Per-employee pricing only begins above 25 staff, at around £8.10 a head.

So the question “is there a minimum employee count?” has an answer: no. The question that matters is whether a flat £200 a month is proportionate to your headcount, and below about fifteen people it generally is not. Our BambooHR alternatives comparison sets out what the same money buys elsewhere — Breathe HR covers up to ten employees for £24 a month.

Still worth asking:

  • Is a GBP-billed quote available, or will you be invoiced in dollars and exposed to the exchange rate? The public page shows USD only.
  • What happens when headcount changes? If you cross 25 employees mid-term, you move from flat to per-employee pricing — ask how and when that takes effect.
  • Which features sit in which plan. BambooHR’s comparison table does not make the onboarding and e-signature split clear.

UK Statutory Leave: What Has Changed

The usual checklist asks whether BambooHR handles UK statutory leave. It does not come pre-configured for it — the defaults lean American, and you build UK leave types yourself. That is the answer, and the useful work is knowing what you are configuring to, because two of these changed this year.

Annual Leave

The statutory minimum is 5.6 weeks, or 28 days for a full-time employee including bank holidays.

The question worth asking is about irregular-hours and part-year workers. Holiday for them accrues at 12.07% of hours worked in each pay period, for leave years beginning on or after 1 April 2024 — this reversed the Harpur Trust v Brazel position. Rolled-up holiday pay is now permitted for those workers, having previously been unlawful.

So ask whether the system supports 12.07% accrual and rolled-up holiday pay, not how it handles “current case law”.

Statutory Sick Pay — The Rules Changed in April

This is where most checklists are now out of date, including on the mechanism.

Since 6 April 2026:

  • SSP is payable from day one of sickness. The three waiting days have gone.
  • The lower earnings limit has been removed, so all eligible employees qualify regardless of earnings.
  • Employees earning below the former threshold receive 80% of their weekly earnings.
  • The rate for 2026/27 is £123.25 a week.

Asking a vendor whether their system tracks waiting days is asking about a mechanism that no longer exists. Ask instead whether it handles day-one SSP and the 80% calculation for lower earners.

Family Leave

Maternity, paternity, shared parental and adoption leave each carry distinct entitlements, pay periods and notice requirements. Parental bereavement leave has been a statutory right since 2020.

Note that parental leave became a day-one right on 6 April 2026, alongside changes to paternity leave. If your handbook or system still applies a qualifying period, it needs updating.

The question to ask: are these pre-configured, or do you build each one? With BambooHR, expect to build them.

Payroll: The Real Gap

BambooHR has its own payroll module and it is built for the US market only. For UK payroll — PAYE, National Insurance, pension auto-enrolment and RTI submissions to HMRC — you need a separate provider.

This is the biggest practical limitation and it does not rule BambooHR out; plenty of businesses run two systems. But cost it upfront, and establish:

  1. Which UK payroll tools integrate natively, and get the current list in writing
  2. Whether data syncs automatically or needs manual export and import
  3. Whether it flows both ways or only outward
  4. Whether pension auto-enrolment is handled anywhere in that chain

Our payroll comparison covers the main UK options and how they charge, which is the other half of this budget.

Right to Work: What to Know Rather Than Ask

Every UK employer must check that every employee has the right to work before employment begins, including British and Irish citizens.

The Penalties

  • £45,000 per illegal worker for a first breach
  • £60,000 for a repeat breach within three years

Starting figures before mitigation. Where an employer knew or had reasonable cause to believe someone was disqualified, criminal liability runs to five years’ imprisonment, an unlimited fine and director disqualification.

It Reaches Contractors Now

For engagements starting on or after 1 October 2026, prescribed checks extend beyond employees to people engaged under a worker’s contract and to individual subcontractors, plus certain online matching platforms. Extended liability can reach businesses further up a contractual chain.

Labelling someone self-employed does not exempt them. If you engage subcontractors, this sits alongside the status and CIS questions in our guide to hiring subcontractors.

The Distinction That Decides the Feature’s Value

Storing a document in BambooHR is not a right-to-work check. The statutory excuse comes from carrying out a prescribed check before employment starts — manual document inspection, the Home Office online service via share code, or IDVT through a certified provider, which is available for British and Irish passport holders only. Photocopies alone, partial screenshots and retrospective checks do not establish it.

What to ask BambooHR, then, is not whether it does right-to-work checks. It is:

  • Can you build the check into the onboarding workflow as a required step before the start date?
  • Does it log who completed the check and when, not just hold the file?
  • Can you set expiry reminders for time-limited permission?
  • Is there any integration with a certified IDVT provider?

Keep the evidence for employment plus two years.

Data Protection

The draft checklist here is sound, and there is one addition.

Ask for and read:

  • Where the data centres are — is there a UK or EEA option?
  • The transfer mechanism for UK-to-US data: look for the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses
  • The Data Processing Agreement, which Article 28 requires and which you should have before signing
  • Who their UK representative is, required of non-UK organisations processing UK residents’ data
  • Breach notification procedures — UK GDPR requires ICO notification within 72 hours

The addition: since 19 June 2026 you have had a data protection complaints procedure duty under the Data (Use and Access) Act 2025. Individuals are expected to complain to you before escalating to the ICO, and you need an accessible route, acknowledgement within 30 days, and a prominent link from your privacy notice. That is your obligation rather than the vendor’s, but it is worth sorting while you are thinking about employee data.

Contract Terms: Genuine Unknowns

These do vary, so take them to the demo:

  • Monthly rolling or 12-month minimum?
  • Annual payment discount?
  • Cancellation terms, and what happens to your data on exit
  • Trial or pilot period, and its length
  • Implementation support — guided or self-serve, and does that team have UK experience? A US implementation team that does not know UK leave types will misconfigure the system.
  • Support hours — are they aligned to UK time zones?

Get the pricing, contract term and data processing answers in writing rather than on a call.

The Employment Law Calendar You Are Buying Into

Worth knowing before you commit to a year, because the system has to keep up.

1 January 2027 — unfair dismissal at six months. The qualifying period falls from two years to six, for dismissals with an effective date on or after that date. The “day one” version was dropped during the Bill’s final stages. It still compresses your window by eighteen months and makes documented onboarding, probation and performance records considerably more valuable.

January 2027 — written statements change. Employers must inform workers of their right to join a trade union, in wording the government will prescribe, with the written particulars for new joiners and as an annual reminder. Breach costs two to four weeks’ pay, capped at £3,004. Your onboarding template will need updating.

Already in force: tribunal time limits doubled. Since 1 October 2026, most claims can be brought within six months rather than three — so your records need to stay complete and retrievable for twice as long.

Ask whether BambooHR’s UK templates and configurations will be updated for the January changes, or whether that is your job.

FAQ

Does BambooHR publish its pricing?

Yes, in US dollars: Core $10, Pro $17 and Elite $25 per employee per month, with a flat rate of $250, $425 or $650 for companies with 25 or fewer employees. Sterling pricing is quote-based.

Is there a minimum employee count?

No. But the flat fee below 26 employees means a three-person business pays the same as a twenty-three person one — roughly £200 a month at the entry tier.

What are the plans called?

Core, Pro and Elite. Essentials and Advantage are retired names.

Can BambooHR run UK payroll?

No. Its payroll module is US-only. You need a separate UK provider for PAYE, National Insurance, auto-enrolment and RTI.

Does it come configured for UK statutory leave?

No. It is configurable, which is not the same thing. Expect to build UK leave types yourself, and to update them for the April 2026 SSP changes and the January 2027 written statement requirement.

What is the current SSP position?

£123.25 a week for 2026/27, payable from day one, with no lower earnings limit, and 80% of weekly earnings for those below the former threshold. Waiting days were abolished on 6 April 2026.

Can it handle TUPE?

Not as a designed feature. Its document storage and reporting can help with record-keeping, but TUPE consultation and transfer obligations are a legal process, not a software one. Take advice.

Is BambooHR MTD compliant?

The question does not apply — MTD governs VAT and income tax reporting and belongs to your accounting software. Note that MTD for Income Tax has applied since April 2026 above £50,000 of qualifying income, which is a bookkeeping matter rather than an HR one. What matters on the HR side is RTI, and BambooHR does not do UK payroll.

Are there UK-built alternatives worth comparing?

Yes, and at small headcounts the difference is substantial. Breathe HR, Charlie HR, Sage HR and Cezanne HR are all designed around UK employment law. Our Charlie HR and BambooHR comparison and Breathe HR review cover two of them.

The Bottom Line

BambooHR is a good platform, and three facts decide whether it suits a UK business.

The cost structure. A flat fee below 26 employees, around £200 a month, which is proportionate at twenty staff and not at four.

The payroll gap. UK payroll is not available and will not be. Budget a second subscription.

The configuration load. UK statutory leave is something you build, not something you receive — and you are building it against rules that changed in April and change again in January.

Take those as given, and spend your demo on the things that actually vary: a sterling quote, contract term, what happens to your data on exit, whether implementation support understands UK employment law, and whether their UK templates will be updated for January 2027.

If the answers hold up, it will work. Just buy it knowing the £200 floor and the second payroll bill are part of the price.

Pricing and features correct at time of writing. Plans and capabilities are subject to change — always confirm current details on the provider’s website before purchasing.
