What Todoist Costs, and the VAT Detail Worth Reading First
Todoist’s pricing is simple enough: a free tier, Pro for individuals, Business for teams. Three plans, no Enterprise option.
What is not simple, and is usually got wrong, is the tax position for a UK business. The common claim is that because Todoist bills in dollars you cannot get a UK VAT invoice and should not worry about it. Todoist’s own documentation says otherwise on both counts.
UK customers are charged VAT unless they supply a VAT ID. Supply one and the invoice is issued under the reverse charge with no VAT charged. And the exemption only applies to payments in GBP (or EUR, DKK, SEK, PLN or CZK) — not USD.
So if you are VAT registered, the actionable advice is the opposite of the usual: pay in pounds, not dollars, and enter your VAT number. Pounds are a supported currency.

Every Plan and What It Costs
Prices as published, in US dollars, following the increase on 10 December 2025:
| Plan | Monthly | Yearly | Yearly total |
|---|---|---|---|
| Beginner | Free | Free | £0 |
| Pro | $7 | $5/month | $60 |
| Business | $10 per user | $8/user/month | $96 per user |
In sterling at roughly £1 = $1.33, the rate in late October 2026:
| Plan | Monthly ~GBP | Yearly ~GBP |
|---|---|---|
| Pro | £5.26 | £45.11 |
| Business | £7.52 per user | £72.18 per user |
Note that Pro is not priced per user — it is an individual plan, so the $60 is a single annual figure rather than something to multiply. Business is per user.
A five-person team on Business annual comes to $480 a year, about £361.
Whether VAT sits on top of these figures or inside them depends on your setup, which is covered below.
The Beginner (Free) Plan
Free, and more generous than usually described — though still limited where it counts.
What you get:
- 5 active personal projects, including sub-projects
- 5 active team projects — in addition to the personal five
- 3 custom filter views
- 1 team at no cost
- 5 MB file uploads — so attachments do exist, just small
- Unlimited tasks, recurring due dates, all devices
- 7 days of activity history
- No daily automatic backups
- No reminders
Two corrections to the version of this list that circulates. The cap is not simply five projects — there are five personal and five team projects, which is meaningfully more headroom. And the free plan does allow file attachments at 5 MB, rather than none at all.
What actually forces an upgrade is more often the absence of reminders, the 3-filter limit, or the 7-day activity history than the project count. If you are running a business on it, losing visibility of anything you did more than a week ago tends to be the thing that breaks first.
Todoist Pro — $60 a Year
The main upgrade for sole traders and freelancers.
What you get over Beginner:
- 300 active personal projects
- 150 custom filter views
- Reminders — time-based, location-based, recurring and custom
- 25 MB file uploads
- Calendar layout, time-blocking, deadlines and task durations
- Full activity history and daily automatic backups
- AI features — Ramble and Task Capture Assist, Todoist Assist, Email Assist, Project Insights
One limit that catches people out: Pro still gives you only 5 active team projects, exactly the same as the free plan. Pro lifts the personal project ceiling from 5 to 300, but if your constraint is shared projects with collaborators, Pro does not move it. That is a Business feature.
At £45 a year this is good value for an individual, and for most sole traders it is the right plan. Just be clear about which project limit was the problem before you buy.
Todoist Business — $96 per User per Year
Built for teams.
What you get over Pro:
- 500 team projects, and 300 personal projects per member
- 150 custom filter views per member
- Up to 1,000 team members, including guests
- 100 MB file uploads
- Shared team workspace, folders, restricted projects and team filters
- Team roles — admin, member, guest
- Centralised billing, and unlimited paid teams each billed separately
- Team activity logs and admin controls
For a team of two to ten who need shared visibility, clear ownership and differentiated access, this is the plan. Centralised billing is a genuine administrative saving — no chasing people to renew their own subscriptions.
If you are a sole trader who occasionally shares a project with a client or contractor, you do not need Business. But check the team-project count against what you actually share, because Pro’s five is the binding number there, not its 300 personal projects.
The December 2025 Price Rise
Real, documented by Todoist, and larger than usually reported because the monthly increases get left out.
| Was | Now | Change | |
|---|---|---|---|
| Pro, monthly | $5 | $7 | +40% |
| Pro, yearly | $4/mo — $48/yr | $5/mo — $60/yr | +25% |
| Business, monthly | $8/user | $10/user | +25% |
| Business, yearly | $6/mo — $72/yr | $8/mo — $96/yr | +33% |
Effective 10 December 2025, applied automatically at your next renewal on or after that date.
There Is Grandfathering, Contrary to the Usual Claim
It is often said there is no grandfathering beyond your original billing cycle. For Pro that is wrong, and the exception is worth knowing before you make any changes to your subscription.
A Pro Legacy plan keeps you on your old price if you either:
- Have been continuously subscribed to Pro since before June 2022, or
- Subscribed through the App Store, whatever your start date or price
App Store subscribers see no automatic increase at all. Google Play subscribers do get charged the new price at renewal.
If you think you are on a legacy rate, check before cancelling, downgrading or re-subscribing — lapsing is likely to lose it.
Business has no grandfathering. Members added mid-cycle before 10 December 2025 were charged at the old rate for those additions, but the renewal invoice moves everyone to the new rate.
VAT: What a UK Business Should Actually Do
This is the section most Todoist pricing guides get wrong, and it is worth doing properly because it is 20% of the bill.
Without a VAT ID, you are charged VAT. Todoist’s documentation says a Pro invoice without one shows “tax included”, and a Business invoice shows “taxable” with VAT in the total.
With a VAT ID, no VAT is charged and the invoice is issued under the reverse charge.
How to do it:
- New Pro purchase: at checkout, select “I’m purchasing as a business” and enter your VAT information
- Existing Pro: Settings → Subscription → Go to Billing → Update information, add your billing address and VAT ID, and save before renewal. For Pro this does not apply automatically — you have to contact Todoist to have it applied
- Business: admins only, via Settings → Billing → Manage Billing → Update information
- Already been charged? Contact Todoist for a VAT-exempt or reverse-charge invoice
- Bought through Apple or Google? Take VAT requests to that vendor, not Todoist
The condition that matters most: the exemption applies only to payments in GBP, EUR, DKK, SEK, PLN or CZK, and only to companies registered in the UK or EU. Pay in US dollars and you cannot have it.
Todoist’s supported checkout currencies include GBP alongside USD, EUR, AUD, CAD, JPY, SEK, DKK, NOK, INR, PLN, CZK and CHF. So a UK VAT-registered business should be paying in pounds — which also removes any card foreign transaction fee. Confirm the currency at checkout, since Todoist’s documentation does not say how it is selected by default.
If you are below the VAT threshold or on the flat rate scheme, none of this helps you and the VAT-inclusive price is simply what you pay.
How It Compares
Rough positioning rather than precise figures, since rival pricing moves:
Pro at about £45 a year sits at the affordable end of task managers — cheaper than Asana’s paid individual tier, broadly comparable to Notion’s paid plan, and well below monday.com’s entry level. TickTick Premium undercuts it. What Todoist is bought for is interface speed and cross-platform reliability rather than being cheapest.
Business at about £72 per user per year is affordable for team task management, but it is a task manager rather than a project management suite — no Gantt charts, no resource planning, none of what Asana or ClickUp offer at higher prices. If you need those, this is the wrong comparison set. Our guide to project management software covers the heavier end.
For the free-tier comparison most small businesses actually make, see our Todoist against Microsoft To Do piece.
Does It Fit UK Business Workflows?
Accounting integration. Todoist is not accounting software and has no HMRC connection. It integrates with Zapier and Make, so you can wire it to FreeAgent, Xero or QuickBooks — raising a Todoist task when an invoice goes out, for instance. Our FreeAgent review covers one option there.
Where a task manager genuinely earns its place now. MTD for Income Tax has applied since 6 April 2026 to sole traders and landlords with more than £50,000 of qualifying income, measured on gross income before expenses, falling to £30,000 in April 2027 and £20,000 in April 2028.
In scope you file quarterly updates by 7 August, 7 November, 7 February and 7 May, then a Final Declaration by 31 January — the quarterly filings sit alongside the year-end submission rather than replacing it. That is five fixed deadlines a year where there used to be one, and recurring reminders against each is exactly what Pro’s reminder feature is for. Note this does not apply to limited companies. Our guide to MTD for VAT against MTD for Income Tax sets out which applies to you.
FAQ
How much is Todoist Pro?
$60 a year ($5 a month billed yearly) or $7 a month monthly — about £45 a year at current rates. Pro is not per user.
How much is Business?
$96 per user per year ($8 per user per month billed yearly) or $10 per user monthly — about £72 per user per year. Five users is roughly £361 a year.
Can I pay in pounds?
Yes. GBP is a supported checkout currency, and if you are VAT registered you should use it — the VAT reverse charge is only available on payments in GBP, EUR, DKK, SEK, PLN or CZK.
Will I be charged UK VAT?
Yes, unless you supply a VAT ID. With one, the invoice is issued under the reverse charge with no VAT. For Pro the change is not automatic — you must contact Todoist after adding your details.
What are the free plan’s real limits?
5 personal projects and 5 team projects, 3 filter views, 5 MB uploads, 7 days of activity history, no reminders and no daily backups. The claim that it allows no attachments at all is wrong.
Does Pro remove all project limits?
No. It lifts personal projects from 5 to 300, but team projects stay at 5, the same as free. Shared-project limits are a Business matter.
Was there a price rise?
Yes, on 10 December 2025. Pro yearly went from $48 to $60 and monthly from $5 to $7; Business yearly from $72 to $96 per user and monthly from $8 to $10.
Am I protected if I was already subscribed?
Possibly, for Pro. A Pro Legacy plan holds your old price if you have been continuously subscribed since before June 2022, or if you subscribed through the App Store. Google Play subscribers were moved to the new price. Business has no grandfathering.
Is there an Enterprise plan?
No. Business is the top tier. For large organisations needing SSO and custom contracts, Todoist is probably not the right fit.
Can I try Pro first?
Todoist has offered a free Pro trial, commonly reported as 30 days. Terms vary and I could not confirm the current length, so check the signup flow.
Which Plan Should You Choose?
Stay on Beginner if five personal and five team projects cover you and you can live without reminders and with a 7-day activity history. It is a capable personal list.
Upgrade to Pro at about £45 a year if you are a sole trader or freelancer tracking multiple clients. Reminders, full history and 300 projects are what you are buying. Check first that your constraint is personal projects and not shared ones, because Pro does not help with the latter.
Choose Business at about £72 per user if you need a shared workspace, roles and permissions, and centralised billing — or simply more than five team projects.
And whichever you pick, if you are VAT registered: pay in pounds and enter your VAT number. That is a 20% saving on the subscription, it is documented by Todoist, and for Pro it needs a support request rather than happening on its own. The usual advice that no UK VAT invoice is available is wrong, and acting on it costs you a fifth of the bill every year.
Pricing and features correct at time of writing, published in US dollars; sterling figures are illustrative conversions at $1.33 and will move with the exchange rate. Prices rose on 10 December 2025 — confirm current details and your billing currency on Todoist’s website before purchasing.
