Wrike Review UK 2026: Is It Worth It for Small Business Teams?

The Seat Minimums Are Real, and So Is the Seat-Block Rule
Wrike is a capable platform, and the first thing to establish about it is who cannot buy it.
The Team plan requires a minimum of 2 users. Business requires 5. There is no single-user paid tier. If you are a sole trader, the Free plan is your only option and you can stop reading at the alternatives section.
That much is widely reported and it checks out. What is usually left out is the rule underneath it, which costs small teams real money.
Seats are sold in blocks. Up to 30 seats, you buy in groups of five — 5, 10, 15, 20 and so on. Between 30 and 100 it is groups of ten, and above 100, groups of twenty-five.
So a six-person team cannot buy six Business seats. It buys ten. That is $250 a month rather than the $150 the per-user price implies — a 67% premium you will not see on the pricing page. Seven, eight or nine people, same bill.
This is the single most important thing to know before budgeting for Wrike as a small business, and I would confirm it with Wrike directly before signing, because it changes the arithmetic at exactly the team sizes this review is about.
What Wrike Is
A cloud work-management platform used by teams from small businesses to global enterprises: task management, Gantt charts, time tracking, custom workflows, automations, and integrations with Slack, Microsoft 365, Google Workspace and Salesforce.
It is strongest where a team needs visibility across several concurrent projects — marketing departments, creative agencies, operations and professional services.
Pricing in 2026
Per user per month, in US dollars, before tax, on annual billing:
| Plan | Price | Seat range | Automations/user/month |
|---|---|---|---|
| Free | $0 | Unlimited | None |
| Team | $10 | 2–15 | 50 |
| Business | $25 | 5–200 | 200 |
| Pinnacle | Quote | Unlimited | 1,500 |
| Apex | Quote | Unlimited | 3,000 |
Note “before tax”. Expect UK VAT at 20% on top, which the headline figures do not include. If you are VAT registered it is recoverable input VAT like any other software subscription — and worth asking whether Wrike will issue a reverse-charge invoice against your VAT number, as some US-domiciled providers do.
What That Costs in Sterling
At roughly £1 = $1.33, the rate in late October 2026, with VAT added:
| Team size | Plan | Monthly USD | ~GBP/month inc VAT | ~GBP/year inc VAT |
|---|---|---|---|---|
| 2 | Team | $20 | £18 | £217 |
| 5 | Team | $50 | £45 | £541 |
| 15 | Team | $150 | £135 | £1,624 |
| 5 | Business | $125 | £113 | £1,353 |
| 10 | Business | $250 | £226 | £2,707 |
Business for ten people is around £2,700 a year including VAT. That is a real commitment for a small business, and it needs the team to actually use the platform rather than three people using it and seven holding dormant licences.
Billing Is Annual
Business and above are annual-only subscriptions. Team is quoted per user per month but also billed annually. One source reports a monthly option appearing at checkout at a higher rate; I could not confirm it, so plan on committing for twelve months.
That matters more than it sounds. You are paying upfront for a tool with a learning curve, which is the combination most likely to produce a subscription nobody opens by March.
The Legacy Plans
Pinnacle and Apex are the current top tiers. Professional, the old Business, Enterprise and Legacy Team all still exist but only for existing customers.
If you are already a Wrike customer on one of those, you are on a plan that is no longer sold — worth knowing before you make any change that might move you onto current pricing.
Who Wrike Suits
Growing teams with genuine project complexity. Five to twenty people running concurrent projects with dependencies and multiple stakeholders. Gantt views, task dependencies and workflow automation earn their keep at that scale.
Creative and marketing agencies. Proofing and approvals are strong, and campaign management with assets alongside tasks is well handled.
Professional services and operations teams. Time tracking on Business supports hourly billing and resource allocation.
Businesses already in Microsoft 365 or Google Workspace. Both integrate cleanly, which lowers the adoption cost.
Who It Does Not Suit
Sole Traders — and This Is Absolute
You cannot buy any paid Wrike plan as a single user. Team starts at two seats, Business at five. The Free plan is open to anyone but has no Gantt charts, no automations and 2GB of storage, which rules it out for serious use.
If that is you, the market has better options. Our guide to task managers for UK sole traders covers the realistic choices — including several that are free and genuinely sufficient. Notion, ClickUp and Trello all offer single-user tiers.
Teams of Six to Nine
Because of the seat-block rule, you buy ten. Nine people pay the same as ten; six people pay the same as ten. If you are at six and not growing quickly, the effective per-user cost is $41.67 rather than $25, and you should price alternatives carefully.
Very Small Teams on Lean Budgets
Five people on Business is about £113 a month including VAT, £1,353 a year. Not ruinous, not trivial — and if only two of you actively manage projects, you are paying for three dormant seats.
Anyone Wanting Lightweight Task Management
Wrike is feature-rich with a real learning curve. If you need a shared to-do list or a basic kanban board, it is overkill and something simpler will bed in faster.
The Features, Honestly
Task and Project Management
Solid. Tasks assigned, prioritised, dated, organised into folders, projects and spaces, with list, board, Gantt and table views. Different people viewing the same project the way that suits them is genuinely useful rather than a feature-list item.
Gantt Charts
From Team upward. One of the better implementations at this price: dependencies, drag-to-adjust timelines, and visible cascade when something slips. For sequential project work this is the main reason to be on Wrike rather than a board tool.
Automations
A real strength, and the per-plan limits are generous. 50 per user per month on Team, 200 on Business — rules like “notify the project manager on completion” or “mark overdue when the due date passes”. At Business level you can build workflows that remove meaningful admin. Wrike outperforms most competitors at the price here.
Time Tracking — and a Cheaper Route to It
Business plan and above only, built into the task interface so hours log against specific tasks. Valuable for agencies that bill hourly.
But it is the main thing dragging teams from $10 to $25 a user, and that is a $15 per user per month jump for one capability.
Worth pricing the alternative: Wrike Team at $10 plus a dedicated time tracker. Clockify Standard is $5.49 a seat and includes invoicing as well as billable rates, giving you about $15.49 against Business’s $25 — roughly £7 per user per month saved, or about £858 a year across ten people. Our Toggl Track for UK agencies and Clockify against Harvest guides cover that market.
The trade-off is two systems and a reconciliation step rather than one. If you need custom workflows and Salesforce as well, Business earns itself regardless. If time tracking is the only reason you are looking at Business, do the sum.
Integrations
Over 400, with Microsoft 365, Google Workspace, Slack, Zoom and HubSpot the relevant ones for most UK small businesses. Salesforce is Business and above. Zapier covers anything not natively supported.
Mobile App
iOS and Android, functional rather than outstanding. View and update tasks, comment, check notifications; anything complex belongs on desktop. Standard for the category.
What Is Missing
No accounting or HMRC connection. Wrike is project management, not finance. There is no route to Making Tax Digital through it, and you should not plan one.
For completeness on where MTD actually sits: MTD for VAT applies to your company if it is VAT registered, through compatible accounting software. MTD for Income Tax does not apply to limited companies at all — it has applied since 6 April 2026 to sole traders and landlords above £50,000 of gross qualifying income, falling to £30,000 in April 2027 and £20,000 in April 2028. At five-plus users you are most likely a company, so the income tax regime is not your concern. There is no MTD for Corporation Tax. Our guide to MTD for VAT against MTD for Income Tax sets out which catches whom.
Pricing in USD, before tax. Whether Wrike will bill a UK customer in sterling I could not confirm — ask before committing, and budget 20% VAT either way.
A learning curve. New users need a few hours; a team adopting it needs scheduled onboarding time. Templates and onboarding support help, but this is not an out-of-the-box tool, and combining that with annual-only billing is the risk worth naming.
FAQ
Can a sole trader use Wrike?
Not on a paid plan. Team requires 2 users, Business requires 5. The Free plan is available but has no Gantt charts or automations. Look at ClickUp, Notion or Trello, which have genuine single-user tiers.
What does Wrike cost for a small team?
Team is $10 per user per month, so two people is about £18 a month including VAT at current rates. Business is $25, so five people is about £113 a month, £1,353 a year.
Is there a catch on seat numbers?
Yes, and it is the big one. Seats are sold in blocks of five up to 30 seats. A six, seven, eight or nine-person team buys ten seats — $250 a month on Business, not $150. Confirm this with Wrike before budgeting.
Can I pay monthly?
Business and above are annual-only. Team is also billed annually despite the per-month price. A monthly option at a higher rate is reported but I could not confirm it.
Which plan has Gantt charts?
Team and above. The Free plan does not.
Which plan has time tracking?
Business and above. If that is the only reason you are considering Business, Team plus a dedicated time tracker is cheaper — roughly $15.49 a user against $25.
Does Wrike have an Enterprise plan?
Not under that name any more. Pinnacle and Apex are the current top tiers, both quote-only. Professional, the old Business, Enterprise and Legacy Team survive for existing customers only.
Does Wrike connect to HMRC or Making Tax Digital?
No, and it is not meant to. It is project management software. MTD belongs to your accounting package.
Is it good for remote teams?
Yes. Task management, Gantt views, real-time commenting, file sharing and Slack and Zoom integrations all support distributed work. Desktop is significantly richer than mobile.
The Verdict
Wrike is genuinely capable — well-built, feature-rich, and strong on automation and scheduling. For a team of five to twenty that has outgrown a kanban board and needs real workflow automation and Gantt scheduling, it deserves a look.
Three things to settle before you commit.
The seat blocks. This is the finding that changes the maths. Six to nine people pay for ten seats, so the per-user price on the website is not what you will pay unless your headcount lands on a multiple of five. Get your actual number quoted.
The annual commitment. Business and above are annual-only, and Team is billed annually too. You are paying twelve months upfront for a platform with a learning curve, so budget the onboarding time as seriously as the licence.
Whether you need Business at all. The $15 per user jump from Team is largely time tracking, custom workflows and Salesforce. If time tracking alone is pulling you up a tier, Team plus a dedicated tracker costs about £7 per user per month less.
And if you are a sole trader, this is not a close call — you cannot buy a paid plan, and the Free tier is too thin for real work. Our sole trader task manager guide and project management software guide cover better-fitting options.
Pricing and features correct at time of writing, published in US dollars before tax; sterling figures are illustrative conversions at $1.33 with 20% VAT added, and will move with the exchange rate. Seat-block rules and billing terms should be confirmed with Wrike before purchase.
