Pipedrive vs Monday CRM for UK Small Business: Which Is Right for You?

Two Products With Different Jobs

Pipedrive vs monday CRM looks like a close comparison and is not, mostly because of two numbers: monday CRM has a three-seat minimum, and Pipedrive’s automation does not start until £39 a seat.

Those two facts decide the answer for most UK small businesses, and neither usually appears in the comparison. Everything else — pipeline design, reporting, ease of setup — matters less than it sounds once you have done the arithmetic.

What Each One Is

Pipedrive was built as a sales CRM and nothing else. Every feature exists to move deals through a pipeline, and the design reflects that single purpose.

monday CRM is a CRM built on monday.com’s work management platform. That is context rather than criticism: if you already run monday.com for projects and tasks, the CRM is a natural extension and the integration is seamless because it is the same system. Coming to it fresh purely to sell, you get a sales tool that shares its foundations with a work-tracking app.

Pipedrive vs Monday CRM: What They Actually Cost

Pipedrive

Four plans, per seat, billed in pounds, no seat minimum:

PlanAnnualMonthly
Lite£14£24
Growth£39£49
Premium£59£79
Ultimate£79£99

No free plan, 14-day trial without a card, and all figures exclude VAT. Full detail in our Pipedrive pricing guide.

If you have read about Pipedrive’s Essential, Advanced, Professional or Power plans, those names are retired. The current line-up is Lite, Growth, Premium and Ultimate, and quoting £29 or £64 against the middle tiers maps old labels onto figures that no longer exist.

monday CRM

Four plans, per seat, minimum three seats:

PlanYearlyMonthly
Basic1218
Standard1725
Pro2841
UltimateCustom, via salesCustom, via sales

The top tier is Ultimate, sold through sales, not an “Enterprise” plan.

A currency note: monday’s pricing page displays these with a dollar sign and states that prices exclude tax and depend on your billing country, with the final figure shown at purchase. We could only retrieve the dollar view, so treat these as the published per-seat rates and confirm the sterling figures at checkout.

There Is No Free monday CRM

Worth separating, because the two monday products get conflated.

monday.com work management has a free-forever plan for up to two seats. monday CRM does not. monday’s own FAQ puts it plainly: the first way to use monday CRM for free is a 14-day trial.

So neither tool here has a permanent free tier, and any comparison crediting monday CRM with a two-seat free plan is describing the other product.

The Seat Minimum, and the Number the Prices Are Quoted At

The three-seat minimum is real — monday’s FAQ confirms plans start from three users — and it is the single biggest factor for a sole trader.

There is a second, subtler issue. monday’s displayed per-seat prices are based on a ten-seat selection. The figures above are what you pay at ten seats, not at three. monday prices by team size, so a three-seat buyer should expect to check whether the per-seat rate is the same at their actual headcount, and not assume the headline figure applies.

That compounds rather than offsets the minimum: you are obliged to buy three seats, and the advertised per-seat rate assumes you bought ten.

One more thing to check at the till: monday’s own pricing page carries a toggle promising 33% off for yearly billing while its FAQ states 18%. When a vendor’s page disagrees with itself, the invoice is the only authority.

What You Actually Pay

Sole trader, one person:

  • Pipedrive Lite: £14 a month, because there is no minimum
  • monday CRM Basic: three seats minimum, so roughly 36 a month before tax for one user’s worth of work

Pipedrive is comfortably cheaper, and the draft conclusion that a sole trader is penalised by monday’s minimum is correct.

Three-person team:

  • Pipedrive Lite: 3 × £14 = £42 a month
  • monday CRM Basic: 3 seats = roughly 36 a month

At three seats they converge, and monday may edge it — subject to whether its ten-seat rate holds at three. This is the band where monday becomes genuinely competitive, which is also the band where its minimum stops being a penalty.

The Automation Question Changes Everything

Here is the comparison that matters more than the headline prices, and it is missing from most versions of this article.

Pipedrive’s automation starts at Growth, £39 a seat. Lite has none. So if the reason you are buying a CRM is to stop doing follow-ups manually — which is the main reason to pay for a CRM at all rather than keep a spreadsheet — Pipedrive’s real entry price is £39, not £14.

Revenue forecasting starts at Growth too, so the same jump buys both.

Against that, monday CRM’s Standard tier sits well below £39 per seat. We could not confirm from monday’s published pages which tier its automations begin at, or what action limits apply, so this is the question to put to monday directly before choosing on price. But the shape of it is clear: compared on automation rather than on entry tier, the gap narrows sharply and may reverse.

The practical version: compare Pipedrive Growth against monday CRM Standard, not Lite against Basic. Comparing the cheapest plan of each is comparing a CRM that automates against one that may not.

Features Compared

Pipeline and Deal Management

Pipedrive’s home ground. A clean Kanban pipeline, customisable stages, rotting rules that turn stale deals red, and activity reminders. Purpose-built, and it shows.

monday CRM has a perfectly functional pipeline view, but it reads as one view among many rather than the centre of the product. For people who think in sales stages, Pipedrive is the more natural fit.

Contacts

Both handle contacts and organisations well. Pipedrive links contacts to deals automatically with a clean activity timeline. monday CRM uses its board system, which works but can feel closer to managing a spreadsheet than a relationship.

Email

Pipedrive’s email sync, with open and click tracking, sits above the entry tier rather than on Lite. monday CRM has email integration that is more limited on lower plans and less sales-specific in what it tracks.

Automation

Pipedrive’s automations are narrow and sales-shaped: create a follow-up when a deal changes stage, send a templated email when one is won. monday’s are broader and more flexible, which is an advantage for operational work and a source of configuration decisions if all you wanted was a follow-up reminder.

Reporting

Pipedrive gives revenue forecasting and sales dashboards from Growth upwards, with conversion rates by stage and performance by user. monday CRM’s reporting is capable but more generic — strong on progress and workload, less tailored to pipeline value and win rate.

Integrations

Both cover Gmail, Outlook, Slack and Zapier. Pipedrive’s marketplace leans towards sales and marketing tools; monday’s leans towards productivity and project apps. Pipedrive also connects to Xero, QuickBooks and FreeAgent, which matters below.

Ease of Use

Pipedrive wins onboarding. Import a CSV, set your stages, start logging deals inside an hour. The interface is narrow, so there is less to get lost in. Our guide to migrating from spreadsheets to a CRM covers the import properly.

monday CRM has a steeper curve, because it is a more configurable platform. That flexibility is valuable if you need it and simply more decisions if you do not.

Which Should You Choose

Pipedrive if: you are starting fresh and want a dedicated sales CRM; you are a sole trader or a team of one or two, where monday’s minimum is dead weight; your goal is tracking and closing deals; or you do not already run monday.com. Budget Growth at £39 rather than Lite at £14 if you want automation.

monday CRM if: you already use monday.com and want CRM alongside your projects; you have three or more people, so the minimum is not a penalty; you want sales data sitting next to delivery work; or you are in a service business where client work and client relationships are the same conversation.

The deciding question is less about which is the better CRM and more about headcount and whether you are already in monday’s ecosystem. Below three people, Pipedrive. Already on monday.com with a team, monday CRM. In between, compare Pipedrive Growth against monday CRM Standard and let automation limits decide.

If neither convinces you, our Capsule CRM alternatives comparison covers seven options with UK pricing, including Zoho CRM’s free edition for three users — which is the one genuinely free answer for a small team here.

Making Tax Digital

Neither is accounting software and neither touches your filings. Pipedrive integrates with Xero, QuickBooks and FreeAgent, all of which handle MTD, which lets you reconcile invoices against won deals.

For context: MTD for Income Tax has applied since 6 April 2026 to sole traders and landlords with qualifying income above £50,000, falling to £30,000 in April 2027 and £20,000 in April 2028. Quarterly deadlines make poorly attributed income more expensive, which is the real argument for joining the CRM to the books. It is a convenience, not a compliance feature.

FAQ

What are Pipedrive’s plans actually called?

Lite, Growth, Premium and Ultimate, at £14, £39, £59 and £79 per seat per month on annual billing. Essential, Advanced, Professional and Power are retired names still widely quoted.

Does monday CRM really require three seats?

Yes. monday’s FAQ confirms plans start from three users, so a sole trader or a pair pays for three. Note too that the advertised per-seat prices are quoted at a ten-seat selection, so check the rate at your actual headcount.

Does either have a free plan?

No. Pipedrive has a 14-day trial; monday CRM has a 14-day trial. The free-forever two-seat plan belongs to monday.com work management, not monday CRM.

Which is cheaper for a sole trader?

Pipedrive, clearly. £14 a month against three obligatory seats on monday CRM.

Which plan do I need for automation?

On Pipedrive, Growth at £39 a seat — Lite has none, which is the most important thing to know about its pricing. On monday CRM, confirm the tier and the monthly action limits directly before committing.

Are the prices inclusive of VAT?

No. Pipedrive’s prices exclude VAT, and monday states its prices exclude tax. Recoverable if you are VAT-registered; a real extra cost if you are a sole trader below the £90,000 threshold.

Can I use either without technical help?

Both are self-serve. Pipedrive is easier to set up because it does less, and that narrower focus means fewer configuration decisions before you can start tracking leads.

Pipedrive vs Monday CRM: The Bottom Line

For a sole trader or a two-person business starting fresh, Pipedrive, and it is not close: £14 a seat with no minimum against three compulsory seats on monday CRM.

For a team of three or more already running monday.com, monday CRM, because the minimum stops being a penalty and you get CRM and delivery work in one system.

Two things to carry into the decision whichever way you lean. Pipedrive’s automation is £39 a seat, not £14, so compare Growth against monday CRM Standard rather than the two entry tiers. And neither tool has a free plan — the free monday tier people cite belongs to a different product.
