BambooHR Onboarding Features Explained: A Practical Guide for UK Businesses

The Cost Floor Most Reviews Leave Out

BambooHR’s onboarding module is genuinely good, and the usual verdict — polished, consistent, worth it if you hire regularly — holds up. What most reviews omit is the number that decides whether a small UK business can use it at all.

BambooHR charges companies with 25 or fewer employees a flat monthly rate, not a per-employee one. That is $250 a month for Core, $425 for Pro and $650 for Elite. Per-employee pricing — $10, $17 and $25 — only applies once you pass 25 staff.

So a five-person business does not pay five times ten dollars. It pays the $250 floor, which at current rates is roughly £190 a month, or around £2,300 a year. That is the figure to weigh against the module’s benefits, and it reframes “the pricing may feel steep for a sole trader” into something considerably more concrete.

Prices are shown in US dollars with no GBP option, so your sterling invoice moves with the exchange rate.

With that established, here is what the module does, and the UK legal timetable it now has to keep pace with.

What the Onboarding Module Does

BambooHR structures onboarding around one idea: everything a new hire needs, and everything your team must do before they arrive, lives in one place with clear ownership and a timestamped record.

Pre-boarding packets. A bundle of tasks, documents and forms sent before day one — welcome message, handbook, health and safety policy, data protection notice, personal details and bank information for payroll, emergency contacts, and contracts requiring signature. The practical effect is that the paperwork is done before they arrive, so day one is spent meeting people rather than filling in forms.

E-signature. Send a contract, an NDA or any other document for signature through the platform. The signed copy files itself into the employee record with a timestamped audit trail showing who signed, when and from where. Electronic signatures are legally valid for employment contracts in the UK, and that audit trail is exactly what settles a later argument about whether someone agreed their terms.

Task assignment across the team. Onboarding involves IT, finance, the line manager, sometimes facilities. You build task lists with owners and due dates — IT sets up the laptop, finance adds them to payroll, the manager runs a first-day briefing — and track completion in one view. Nothing depends on someone remembering.

Self-service data entry. New hires enter their own address, National Insurance number, bank details and emergency contacts rather than someone keying them in. Fewer errors, less admin, and the employee is involved in their own setup.

BambooHR Onboarding: What It Costs

25 or fewer employeesMore than 25 employees
Core$250/month flat$10 per employee/month
Pro$425/month flat$17 per employee/month
Elite$650/month flat$25 per employee/month

Three plans, not two — Core, Pro and Elite. Volume discounts apply automatically above the threshold.

Onboarding sits across the range rather than being a paid add-on, with Core covering candidate records, job posting and offer letter templates. BambooHR’s comparison table lists the Onboarding Checklist and New Hire Packet without making the plan split clear from the page, so confirm which tier carries the specific features you need before committing.

For context on the alternative: Charlie HR, which is UK-built, bands by headcount rather than charging per employee and starts around £21 a month for one to four people. Our Charlie HR and BambooHR comparison covers the trade-off, which is essentially depth and polish against UK defaults and a tenth of the price at small headcounts.

The UK Legal Timetable Your Onboarding Now Has to Keep Up With

This is the part no generic review covers, and 2026–27 is an unusually busy stretch. Four changes bear directly on what happens in a new starter’s first weeks.

The Written Statement Is a Day-One Document

A written statement of particulars must be given on or before the first day of employment. That deadline is precisely the problem a pre-boarding packet solves, and it is the strongest practical argument for the module.

From January 2027 that statement gains a new requirement. Under the Employment Rights Act 2025, employers must inform workers of their right to join a trade union — included with the written particulars for new joiners, made available to existing staff, and repeated as an annual written reminder. The government will prescribe the wording, which employers must use as given.

The start date moved from 30 October 2026 to January 2027, so there is a little time, but the template in your onboarding packet will need updating before then. Breach carries the same penalty as failing to provide a written statement at all: two to four weeks’ pay, capped at £3,004.

Statutory Sick Pay Changed in April 2026

Since 6 April 2026, SSP is payable from day one of sickness rather than day four, and the lower earnings limit has been removed, so all eligible employees qualify regardless of earnings. Workers earning below the former £123 weekly threshold receive 80% of weekly earnings.

For onboarding this matters because a new starter who is ill in their first week now has an entitlement from the first day, with no qualifying earnings test. Whatever your handbook says about sick pay probably needs checking.

Unfair Dismissal Protection Arrives Much Sooner

The most significant change for anyone hiring. The qualifying period for unfair dismissal falls from two years to six months, for dismissals with an effective date of termination on or after 1 January 2027.

The widely reported “day one” version was dropped during the Bill’s final stages, so six months is the figure to plan around — but it still compresses your window from twenty-four months to six.

That makes structured onboarding and a documented probation process considerably more valuable than it was. If a hire is not working out, the evidence that you set clear expectations, assigned tasks, and reviewed progress is what you will rely on, and it needs to exist inside six months rather than two years.

Tribunal Time Limits Have Doubled

Since 1 October 2026, the time limit for bringing most tribunal claims has extended from three months to six.

Which doubles how long your onboarding records need to stay retrievable and complete. The draft case for audit trails was already sound; this strengthens it.

Right to Work: What the Platform Does and Does Not Do

Every UK employer must check that every employee has the right to work before employment begins — including British and Irish citizens. The obligation sits under the Immigration, Asylum and Nationality Act 2006.

The Penalties, Split Properly

  • £45,000 per illegal worker for a first breach
  • £60,000 for a repeat breach within three years

Both are starting figures before mitigation, under the Code of Practice in force since February 2024. Where an employer knew or had reasonable cause to believe someone was disqualified, criminal liability runs to five years’ imprisonment, an unlimited fine and director disqualification.

Quoting only the £60,000 figure, as most guidance does, describes the repeat-breach level rather than the one most employers would face.

The Three Compliant Methods

  1. Manual document check — inspect original documents from List A or List B, copy them, record the date
  2. Home Office online service — using a share code, for anyone with an eVisa or settled or pre-settled status
  3. IDVT through a certified identity service provider — for British and Irish citizens with a valid passport only

That third restriction catches people out. IDVT is not a general-purpose route.

It Now Reaches Contractors

For engagements starting on or after 1 October 2026, prescribed checks extend beyond employees to people engaged under a worker’s contract and to individual subcontractors, along with certain online matching platforms. An extended liability concept can reach businesses further up a contractual chain even where they do not engage the worker directly.

Labelling someone self-employed does not exempt them. Genuine business-to-business arrangements can still sit outside, on substance rather than labels.

If you engage subcontractors, this now runs alongside the status and CIS questions in our guide to hiring subcontractors. Note too that the Home Office guidance behind the October changes was in draft when the analysis supporting this was published, so confirm the final version.

The Distinction That Decides Whether the Feature Is Worth Anything

Uploading a document to BambooHR is not a right-to-work check.

The statutory excuse comes from carrying out a prescribed check before employment starts and keeping proper evidence. Photocopies alone, partial screenshots and retrospective checks after someone has started do not establish it.

What the platform genuinely contributes is making the check happen and proving that it did: a document upload step built into the pre-boarding workflow, stored against a named employee record with a timestamp showing it was collected before the start date, and a repeatable process that does not depend on anyone remembering.

Keep the evidence for the duration of employment plus two years.

That is the real value here — not automation of the check, but a defensible record that it was done, which is what substantiates the statutory excuse if you ever need it.

Consistency and Audit Trails

Speed is how HR software is sold. For a small UK business the better argument is defensibility.

Every new hire going through the same flow eliminates the “we always do it this way but nobody’s sure who’s responsible” problem. And it creates a record: when the contract was sent and signed, when payroll details were submitted, when the right-to-work document was collected.

With the unfair dismissal qualifying period dropping to six months and tribunal time limits now six months rather than three, that record is doing more work than it was a year ago.

Limitations Worth Knowing

  • The $250 monthly floor for businesses with 25 or fewer employees is the main barrier for small UK firms
  • Pricing is in US dollars with no GBP option, so your invoice moves with the exchange rate
  • It is not a UK payroll system. You will run payroll elsewhere and manage the data transfer — our payroll comparison covers the main options
  • UK defaults lean American. Statutory leave types and holiday rules need configuring; they are not pre-built
  • Right-to-work compliance remains yours. The platform supports the process, it does not discharge the obligation

FAQ

What does BambooHR actually cost a small UK business?

If you have 25 or fewer employees, a flat $250 a month for Core, $425 for Pro or $650 for Elite — not a per-employee rate. Above 25 employees it moves to $10, $17 or $25 per employee per month. Prices are in US dollars.

Is e-signature included or an add-on?

It is part of the platform rather than sold separately, and it appears in BambooHR’s plan comparison. Confirm which tier carries it for your needs before subscribing, since the plan split is not clearly set out on their pricing page.

Can BambooHR handle UK right-to-work checks?

No platform can. You conduct a prescribed check before employment starts — manual documents, the Home Office online service, or IDVT for British and Irish passport holders — and BambooHR stores the evidence with a timestamp. It supports the process; the legal obligation stays with you.

Do right-to-work checks apply to contractors now?

For engagements starting on or after 1 October 2026, yes — prescribed checks extend to people under a worker’s contract and to individual subcontractors, with liability that can reach up a contractual chain.

How long do I keep right-to-work evidence?

For the duration of employment plus two years.

Is it suitable for a business with fewer than 10 employees?

Probably not on cost. The $250 monthly floor works out at roughly £190 a month regardless of whether you have three employees or twenty-three. A UK-built alternative banded by headcount will be a fraction of that at small sizes.

Does it integrate with UK payroll?

Through its marketplace rather than natively. Check whether your payroll provider has a supported integration before assuming the data will flow.

When does the new written statement requirement start?

January 2027, moved from 30 October 2026. Employers must inform workers of their right to join a trade union, in wording the government will prescribe, with the written particulars for new joiners and as an annual reminder thereafter.

BambooHR Onboarding: The Bottom Line

The module does what it claims. Pre-boarding packets, e-signature, assigned tasks and self-service data entry produce a consistent process with a timestamped record, and that record matters more this year than last — unfair dismissal protection arrives at six months from January 2027, and tribunal time limits doubled in October.

Two things to settle before you buy. The cost floor: $250 a month for Core if you have 25 or fewer employees, in dollars, which is the real number for most UK small businesses rather than the $10 per-employee headline. And the right-to-work reality: storing a passport scan is not a check, the statutory excuse depends on doing it properly before employment starts, and since 1 October the obligation reaches individual subcontractors too.

If you hire often enough that consistency pays for itself at around £190 a month, this is one of the most polished options available. If you hire twice a year with eight people on the books, the arithmetic points elsewhere.

Pricing and features correct at time of writing. Plans and capabilities are subject to change — always confirm current details on the provider’s website before purchasing.
