Zoho CRM Alternatives for UK Small Business 2026: Honest Picks That Actually Fit

The Usual Verdict Needs Testing

The standard argument for leaving Zoho CRM is that it only makes sense if you use other Zoho products — that as a standalone CRM you carry the complexity without the ecosystem benefit.

There is a lot in that. But one verified pricing fact complicates it: Zoho CRM Standard includes multiple sales pipelines at £12 per user per month. Capsule charges £27 for the same capability and Pipedrive £39. So if your requirement is two or three distinct sales processes, Zoho is the cheapest route to it in this market by a wide margin, ecosystem or no ecosystem.

That does not make Zoho right for everyone. It does mean the honest comparison is narrower than “use it only if you’re buying Zoho Books too”, and it changes which alternative you should look at first.

Here is the list with every price checked.

What We Judged On

Free tier generosity — can you run on it, or does it stop at the first useful thing?

Per-seat cost at small scale, which is where per-user pricing stings.

Customisation against setup burden. Flexibility you spend a week configuring is a cost.

UK accounting integrations — Xero, QuickBooks, Sage, FreeAgent.

Where automation and pipelines sit, because the tier that unlocks them usually matters more than the entry price.

Zoho CRM Alternatives for UK Small Business: The Picks

1. Capsule CRM — Cleanest Tool, Broadest UK Accounting

Free: 2 users, 250 contacts · Paid: Starter £14, Growth £27, Advanced £42 per user/month annually

The closest thing here to a CRM that gets out of your way. Manchester-built, priced in pounds, support in UK hours, and an integration list that reads like a UK software directory.

Those prices are worth stating plainly because Capsule is routinely listed at £18, £36 and £54. The real figures are £14, £27 and £42 annually, or £17, £32 and £52 monthly. The £18 in particular is Zoho CRM’s Professional price and it has drifted into Capsule write-ups repeatedly.

What we like. The interface is near-minimalist without being underpowered — tags, custom fields, pipelines and tasks with no training course, and most people are productive the same day. And its accounting coverage is the broadest of anything in this comparison: Xero, QuickBooks Online, Sage Accounting and FreeAgent, plus Crunch, FreshBooks, KashFlow and Wave. Most lists credit it with only Xero and QuickBooks.

Where it falls short. No marketing automation, and the free plan is thinner than it looks: 2 users, 250 contacts, one pipeline, five custom fields, and no Xero integration — that starts at £14. So “start free with Capsule because it connects to Xero” is not a thing you can actually do. Multiple pipelines and workflow automation are Growth at £27.

Best for: sole traders and small teams who want a CRM they will use, with the caveat that the useful configuration is £27 rather than free. Detail in our Capsule pricing guide.

2. Pipedrive — Best Pipeline, and Automation Costs £39

Free: None, 14-day trial with no card · Paid: Lite £14, Growth £39, Premium £59, Ultimate £79 per seat/month annually

Built by salespeople and it shows. The pipeline view is the best here — every deal at a glance, drag between stages, immediate sense of where revenue is stalling.

The tier names matter because almost every comparison still uses the retired set. There is no Essential, Advanced, Professional or Power plan, and the £29, £49 and £64 figures that travel with those names do not correspond to anything Pipedrive sells. It is Lite, Growth, Premium, Ultimate.

The correction that affects the recommendation: you will read that Pipedrive’s automation is available “even on lower plans”. Lite has no workflow automation at all. It starts at Growth, £39, along with revenue forecasting. So the practical entry price for anyone buying a CRM to chase follow-ups is £39, not £14 — nearly triple.

Worth knowing what £39 buys: fifty active automations, counted per company rather than per seat, multi-step nurturing sequences, and three if/else branches. Our Pipedrive automation guide has the limits, which Pipedrive publishes in its knowledge base rather than on its pricing page.

Where it falls short. No free plan. Add-ons are substantial — LeadBooster £32.50 a month, Web Visitors £41, Smart Docs £32.50, Campaigns £13.33 — and Pipedrive does not publish whether they are charged per seat or per company, which on an eight-person team is the difference between £32.50 and £260. One useful quirk: LeadBooster is included from Premium, so at one or two seats Premium at £59 is cheaper than Growth plus the add-on.

Best for: small businesses with a defined sales process, budgeted at £39 a seat. See our Pipedrive pricing guide.

3. Zoho Bigin — The Answer Nobody Lists

Free: 1 user, 1 pipeline, 500 records · Paid: Express 7, Premier 12, Bigin 360 18 per user/month annually

The obvious response to “Zoho CRM is overkill” is Zoho’s own simpler product, and it is almost always left out of these roundups.

Bigin is built around the pipeline: three on Express, five on Premier, fifteen on Bigin 360, with 50,000, 100,000 and a million records respectively. Setup is genuinely under half an hour, and it connects to Gmail, Outlook and WhatsApp. Not a cut-down Zoho CRM — a different product for a different user.

The catch to understand. Bigin Premier at 12 and Zoho CRM Standard at £12 are the same price, and Bigin 360 at 18 meets Zoho CRM Professional at £18. So above the entry tier you are not buying a cheaper product, you are buying a simpler one for the same money. Express at 7 is the only tier where Bigin genuinely undercuts.

The free plan is one user, which is the thing to check first — it caps three automations too.

Best for: a genuine sole trader who wants a pipeline this afternoon. Our Zoho CRM versus Bigin comparison runs the full arithmetic.

4. HubSpot — Free, But Two Users

Free: 2 users, 1,000 contacts · Paid: Starter around £18 per seat, often £7 promotionally

This entry needs the most correcting, because the version of HubSpot’s free tier in circulation is years out of date.

HubSpot’s own pricing and product pages state the free CRM is free for up to two users, with 1,000 contacts and no expiry. Not unlimited users. That was true before HubSpot moved to seat-based pricing and it is still repeated almost everywhere.

Two users is the same cap as Capsule’s free plan with four times the contacts — so still the better of those two free tiers, by a much smaller margin than advertised, and not a way to equip a team of five.

What we like. Genuinely polished onboarding, a large integration ecosystem, and native marketing tools if marketing is how you generate work. Starter at roughly £18 a seat, or around £7 while a promotion runs, is competitive rather than expensive.

Where it falls short. The escalation to Professional is the real cliff, and the figures quoted for it vary wildly — we could not verify a Professional price at source, so treat any specific number, including the £1,170 for five users sometimes cited, as unconfirmed. Budget on the Starter rate you can see and get Professional quoted before you plan around it.

We include HubSpot as the non-monetisable option in this roundup deliberately: an honest picture of the market is more useful than one limited to tools we earn commission from. See our Capsule versus HubSpot Free comparison.

Best for: one or two people needing a free start, or anyone expecting to grow into marketing automation with eyes open.

5. Zoho CRM Itself, Reassessed

Free: 3 users, free forever · Paid: Standard £12, Professional £18, Enterprise £35, Ultimate £42 per user/month annually

Note Professional is £18 and Ultimate £42 — commonly listed as £20 and £45 or £52.

What the usual verdict gets right. The setup burden is real. Out of the box Zoho CRM feels like navigating an enterprise system when you want to track a dozen relationships, and the onboarding does not hold your hand the way Capsule’s or Pipedrive’s does.

What it gets wrong. Two things.

First, multiple sales pipelines are included at Standard, £12 — confirmed on Zoho’s own edition comparison. They are frequently misreported as an Enterprise feature at £35. That makes Zoho the cheapest multiple-pipeline CRM in this market, which is a standalone reason to choose it with nothing to do with the ecosystem.

Second, custom modules are not available on Professional at all. They begin at Enterprise with 100, allocated two per user licence, and Ultimate gives 500 at five per licence. So praise for “custom modules and feature depth at the Professional tier” is misplaced — if you need custom modules, Enterprise is the entry point.

The free tier’s three users is the most generous in the UK market, more than Capsule’s or HubSpot’s two.

And the ecosystem argument is stronger than usually stated. Zoho Books is HMRC-recognised for Making Tax Digital for Income Tax as well as VAT, and offers both on its free plan — which matters because MTD for Income Tax has applied since 6 April 2026 above £50,000 of qualifying income. Our Zoho CRM and Books integration guide covers that, including the fact that the Income Tax feature is enabled on request.

Best for: anyone wanting multiple pipelines cheaply, teams of up to three wanting a free CRM, and businesses genuinely building in Zoho. Full tier detail in our Zoho CRM pricing guide.

FAQ

Is Zoho CRM good for UK small businesses?

Better than the usual verdict allows. The setup burden is real, but multiple pipelines at £12 and three free users make it the value pick regardless of whether you adopt other Zoho products.

Which CRM has the most generous free tier?

Zoho CRM, with three users. HubSpot gives two users and 1,000 contacts, Capsule two users and 250 contacts, Bigin one user. Pipedrive has none.

Which is cheapest for multiple pipelines?

Zoho CRM Standard at £12 per user. Capsule charges £27 and Pipedrive £39.

Which plan do I need for automation?

On Pipedrive, Growth at £39 — Lite has none. On Capsule, Growth at £27. On Zoho CRM, workflow rules appear from the free tier upwards, though Zoho does not publish the per-tier limits.

Which integrates best with Xero and QuickBooks?

Capsule, which also covers Sage and FreeAgent. Zoho CRM and Pipedrive both handle Xero and QuickBooks natively. Note Capsule’s Xero integration starts at £14 and is not on its free plan.

Do I need a CRM as a sole trader?

Not always. If you are losing follow-ups or your spreadsheet has become unwieldy, yes. Bigin Free or Zoho CRM’s free tier are the low-risk starts — and Zoho’s gives you room for a second person.

Does any of this help with Making Tax Digital?

No CRM handles your filings. Zoho Books does, and is HMRC-recognised for both MTD for VAT and MTD for Income Tax, which has applied since April 2026 above £50,000 of qualifying income.

Which Zoho CRM Alternative Should You Choose?

Capsule if you want the cleanest tool and the broadest UK accounting integration, at £14 for Starter and £27 for the configuration most businesses actually need.

Pipedrive if your business lives by its sales process and you want the best pipeline, budgeted at £39 rather than £14, because Lite cannot automate anything.

Zoho Bigin if Zoho CRM feels like overkill and you are one person — Express at 7 is the only genuinely cheaper tier in this comparison.

HubSpot free if you have no budget, with two users rather than unlimited, and the Professional step priced before you plan around it.

Zoho CRM if you want multiple pipelines cheaply, up to three free seats, or you are building in Zoho. The setup burden is real and the £12 pipeline tier is real too, and the second is why the standard “only worth it inside the ecosystem” verdict does not quite hold.

The best CRM remains the one you will actually open. Start simple — just start on the right tier, because in every tool here the useful plan is one step above the headline price.

Pricing and features correct at time of writing. Plans and capabilities are subject to change — always confirm current details on the provider’s website before purchasing.
