Capsule CRM for UK Consultants and Agencies: Is It the Right Fit?

The Fit Question
Capsule CRM for UK consultants and agencies is a reasonable default recommendation, and the reason it gets recommended is usually stated wrongly. It is not that Capsule is the cheapest, and it is not that the free plan will do.
If you run a small consultancy, you need a clear view of a dozen high-value opportunities, a reliable prompt to follow up on proposals, and something that connects to whatever you invoice from. Capsule does all three well. The question is which tier does them, because the answer is not the one most write-ups give, and the free plan does less than you will be told.
This is a fit assessment rather than a review: what the work actually requires, where Capsule delivers, what it costs for a team rather than one person, and when a spreadsheet is still the honest answer.
What Consultants and Agencies Actually Need
Pipeline visibility on a few large deals. Not hundreds of leads. Five to fifteen live opportunities worth thousands each, and one reliable view of where each one sits without reconstructing the story from your inbox.
Proposal follow-up. The classic way small agencies lose work is not losing the pitch. It is sending a proposal, forgetting it, and finding out three weeks later the client assumed you had lost interest.
Delivery, not just sales. This is the requirement most CRM assessments skip, and it matters more for agencies than the pipeline does. Winning the work is the short part. Delivering it across several concurrent clients is the business.
Accounting integration. Most UK small businesses run Xero, QuickBooks or FreeAgent, and double-entering client details is friction nobody sustains.
Adoption in an afternoon. A one-to-five person team with no operations manager will abandon anything that needs a setup project.
What Capsule Is
A UK CRM, built in Manchester, running since 2009, aimed deliberately at small businesses. Contact management, a visual sales pipeline, tasks and activity tracking, project delivery boards, and integrations with Xero, QuickBooks, Google Workspace and Microsoft 365. Cloud-based, and genuinely usable without training.
It is not an all-in-one marketing platform. It will not send your newsletters or build boardroom analytics. That is a deliberate choice, and for most small consultancies it is the right one.
Capsule CRM for UK Consultants: Where It Fits
Pipeline Management, and the Tier You Actually Need
The pipeline view is clean and quick. Custom stages that match your real process — Discovery Call, Proposal Sent, Awaiting Decision, Won — and dragging deals between them takes seconds. Twenty minutes to set up from scratch.
Now the part that is consistently misreported. Multiple sales pipelines are a Growth feature, at £27 per user per month. The free plan gives you one pipeline. Starter at £14 does not include multiple pipelines either.
This matters specifically for this audience, because the standard example given for multiple pipelines is an agency running new business separately from renewals — which is exactly the use case, and exactly the thing you cannot do on the cheaper tiers. If you want new business and renewals tracked as separate pipelines, budget £27 a user, not £14.
You will also see multiple pipelines attributed to Starter in some guides and to Advanced in others. Neither is right. Advanced, at £42, raises the allowance to 50 pipelines and 50 project boards.
Projects: The Part Agencies Should Care About Most
Barely mentioned in most Capsule write-ups, and for an agency it is the strongest argument for the tool.
Capsule’s Projects feature handles delivery after the sale, in the same system as the CRM:
- A project can be created automatically when you win a deal, so delivery starts without a handover
- Projects display as a Kanban board by status, or as a list
- Tasks within a project can be categorised and assigned to whoever is doing the work
- Projects link to the contact record, so you can email a client a project update from the project itself
- Tracks are reusable processes — a set of steps that fire each time you start a new project, which is how you stop rebuilding your onboarding checklist every time
For a consultancy that sells and then delivers, that closes the loop a sales-only CRM leaves open. The caveat is the same as above: multiple project boards sit at Growth, and automated project creation on a won deal depends on workflow automation, which is also Growth. The agency workflow worth having lands at £27 a user.
Contact and Relationship History
Every logged email, call note and task lives on the contact record. This is the single feature that justifies leaving a spreadsheet: open a contact and immediately know when you last spoke, what was said, and what happens next.
Gmail and Outlook integration lets you log email from the inbox. Full email sync is a Growth feature.
Task and Follow-Up Reminders
Attach a task to any contact or opportunity, set a date, get reminded. For a solo consultant who sends a proposal on Tuesday and wants a nudge the following Monday, this is all the automation required, and it is available on every tier including free.
The Xero Integration, With Two Caveats
Capsule connects natively to Xero and QuickBooks, and for a UK business this is a genuine advantage. A contact record shows their invoice summary, payment due dates, what is paid, overdue amounts and any estimates issued.
Two things to know, both of which are usually reported wrongly.
It is not on the free plan. The Xero integration is available on Starter, Growth, Advanced and Ultimate. So if you take the common advice to start free and rely on the Xero connection as the reason to choose Capsule, those two recommendations contradict each other. The integration starts at £14.
Contact sync runs one way, Capsule to Xero. Capsule is treated as the source for contact data. Changes made in Xero are not described as syncing back, so the working rule is that contacts get edited in Capsule and nowhere else. Tell whoever does your bookkeeping.
You will also read that you can raise Xero invoices from within Capsule. Capsule’s own integration page does not document that, so test it in a trial rather than buying for it. Our Capsule Xero integration guide goes through the detail.
Capsule has no Making Tax Digital function and does not need one — that sits in your accounting software. What the integration contributes is income attributed to the right client, which is bookkeeping hygiene rather than compliance.
What It Costs, With Real Numbers
Most assessments of whether Capsule is “worth paying for” decline to say what it costs. Here are the sterling figures, which is what UK customers are billed once the currency selector is set to UK and Europe.
| Plan | Per user/month annually | Per user/month monthly | Contacts | Key gate |
|---|---|---|---|---|
| Free | £0 | £0 | 250 | 2 users, 1 pipeline, no Xero |
| Starter | £14 | £17 | 30,000 | Xero, basic reporting |
| Growth | £27 | £32 | 60,000 | Multiple pipelines, projects, automation, AI |
| Advanced | £42 | £52 | 120,000 | 50 pipelines and boards |
Because pricing is per user, the figure that matters for an agency is the team total:
- Three people on Starter: £42 a month
- Three people on Growth: £81 a month, or £972 a year
- Five people on Growth: £135 a month
- Five people on Advanced: £210 a month
For a three-person consultancy, £972 a year to run both the pipeline and project delivery is defensible against almost any alternative. Full breakdown in our Capsule CRM pricing guide.
Where Capsule Falls Short
Reporting Depends Heavily on Tier
Starter’s reporting is basic, and “shallow” is a fair description of it. Growth adds advanced sales reporting and reporting dashboards, which is a materially different product.
So the common verdict that Capsule’s reporting will not satisfy a ten-to-fifteen-person agency presenting to a management team is true of Starter and overstated for Growth. What you will not get at any tier is the depth of a dedicated sales analytics tool: conversion rates modelled by stage, cycle-length analysis, forecasting with confidence intervals.
No Email Marketing
Capsule does not include it. Campaigns run through Transpond by Capsule, a separate product on a separate paid subscription. If staying in front of prospects by newsletter is core to how you win work, that is an additional line in the budget, not a bundled feature. Our Transpond versus Brevo comparison covers whether it is the right choice against the alternatives.
Automation Is Deliberately Modest
Workflow automation arrives at Growth and is basic next to HubSpot or Pipedrive. Multi-step sequences — send this, wait three days, create a task, notify someone — are not what Capsule is for. For most small consultancies that is not a dealbreaker, but if automated nurture is your growth model, you are shopping in the wrong place.
No Time Tracking
Worth stating for this audience, since consultants bill by the hour. Capsule does not track time, so you will pair it with something that does — our Clockify versus Harvest comparison for UK agencies and guide to tracking billable hours cover that choice, including which tiers actually include billable rates.
When a Spreadsheet Is Still the Right Answer
Honestly: for a solo consultant with under twenty active contacts and a handful of opportunities, a well-kept spreadsheet does the job. Contact, company, last contacted, stage, value, next action. Zero cost, an hour to build, no new habits.
It stops working at a predictable moment, and the moment is not about contact count. It is when you can no longer reliably remember who you last spoke to and what was said. In practice that arrives when you are juggling more than about eight live opportunities, when your sales cycle stretches past a few weeks, or when a second person needs to see the same information.
If you have opened a spreadsheet and realised you have no idea whether you followed up on an £8,000 proposal from three weeks ago, that is the signal. And if you are moving, move the data properly — our guide to migrating from spreadsheets to a CRM covers the field mapping and date formatting that cause most of the pain.
The Alternatives
Pipedrive. Stronger pipeline management and reporting, a slightly steeper curve, and priced from £14 to £79 a user depending on tier. Better for teams serious about sales process. Our Pipedrive versus Zoho CRM comparison covers both.
HubSpot. Worth correcting the usual claim here. HubSpot’s free tier is two users and 1,000 contacts — the same seat cap as Capsule, with four times the contacts — not the unlimited-user, million-contact product it is often described as. Paid Starter is per seat at roughly £18 list and often around £7 promotionally, so it is not an enterprise price and it is not substantially dearer than Capsule. The real escalation is the step to Professional. See our Capsule versus HubSpot Free comparison.
Notion or Airtable. Flexible and cheap, but you are building your own CRM, which takes time and discipline that most consultancies would rather spend billing.
FAQ
Is the free plan enough for a one-person consultancy?
For pipeline and contacts, possibly, with 250 contacts and one pipeline. But the Xero integration is not on the free plan, and neither are multiple pipelines or projects. If the accounting connection is why you chose Capsule, the honest entry point is Starter at £14.
Which plan do I need for separate new business and renewals pipelines?
Growth, at £27 per user per month. Starter does not include multiple pipelines.
Does Capsule handle project delivery or only sales?
Both. Projects can be created automatically when a deal is won, viewed as a Kanban board, and populated with assigned tasks, with Tracks providing reusable process steps. Multiple project boards sit at Growth.
Does the Xero integration work both ways?
No. Contacts flow one way, from Capsule to Xero, with Capsule as the source. Invoice summaries, due dates, payment status, overdue amounts and estimates display in Capsule.
Does Capsule support Making Tax Digital?
No, and it does not need to. MTD submissions happen in your accounting software. MTD for Income Tax has applied since April 2026 above £50,000 of qualifying income, which is your bookkeeping tool’s job rather than your CRM’s.
Does Capsule track time or raise invoices?
It does not track time. Invoice visibility comes from the Xero or QuickBooks integration; invoice creation from Capsule is not documented and should be tested before you rely on it.
Capsule CRM for UK Consultants and Agencies: The Bottom Line
For a one-to-ten person consultancy running a modest number of high-value deals on Xero or QuickBooks, Capsule is a strong fit. It adopts in an afternoon, it solves the proposal-follow-up problem that actually costs small agencies work, and Projects means delivery lives alongside the pipeline rather than in a second tool.
Two corrections to the advice you will usually get. The free plan is not the entry point if the Xero integration is why you came — that starts at Starter, £14. And the agency setup worth having, with separate pipelines for new business and renewals plus project boards and automated project creation, is Growth at £27 a user, which is £81 a month for three people.
Its limits are real and predictable: modest reporting below Growth, no email marketing, no time tracking, and automation that stops well short of HubSpot’s. None of that is a surprise if you go in knowing it, and for most small UK consultancies none of it is the thing that was going wrong.
