Capsule CRM Xero Integration Explained: What UK Small Businesses Need to Know

What the Integration Is For
The Capsule CRM Xero integration links your contact records in Capsule to your invoicing data in Xero, so that when you open a client’s record you can see what they have been invoiced, what is outstanding and what is overdue, without opening Xero at all.
For a UK service business that is a real improvement. You are about to ring a client about a new project, you glance at their record, and you can see they have an invoice three weeks past due. That changes the conversation.
What it does not do is quite specific, and the direction the data flows matters. Both are covered below, along with the plan question, which most guides get wrong.
Which Capsule Plan You Need
Here is the correction worth making first, because it changes the decision entirely.
The Xero integration is available on Starter, Growth, Advanced and Ultimate. Starter is Capsule’s cheapest paid tier at £14 per user per month on annual billing. It is not available on the free plan.
You may read that the integration requires a “Professional” plan at around £18 per user per month. Capsule has no Professional plan. Its tiers are Free, Starter, Growth, Advanced and Ultimate. The Professional name and the £18 figure both belong to Zoho CRM, whose mid-tier is priced at exactly that, and they appear to have migrated into Capsule write-ups by mistake.
The practical effect is that there is far less to deliberate than usually suggested. If you are on any paid Capsule plan you already have the integration, and if you are on the free plan the step up is £14 rather than £18 — and that step buys you the whole of Starter, not just a connector. Our Capsule CRM pricing guide covers what each tier includes.
What the Integration Actually Does
Xero Data Inside Capsule
Once connected, a contact’s record in Capsule shows:
- A summary of their invoices
- Payment due dates
- Whether each invoice has been paid
- Overdue amounts
- Any estimates you have issued them
That last one is often left out of descriptions and is useful in its own right, since an outstanding estimate is a sales signal rather than an accounting one.
Contacts Flow One Way: Capsule to Xero
This is the detail that determines how you work with it. Capsule describes itself as the source for your contact data, and the sync pushes customer records — and optionally supplier records — from Capsule into Xero, keeping them up to date there.
It is not a two-way sync. Changes made in Xero are not described as flowing back to Capsule. So the rule for your team is straightforward: edit contacts in Capsule, not in Xero. Fix an address in Xero and you have created a discrepancy that the integration will not resolve, and may overwrite.
If you have been maintaining both systems independently, that is the habit to change on day one, and it is worth telling whoever does your bookkeeping.
What About Raising Invoices From an Opportunity?
You will frequently read that you can create a Xero invoice directly from a won opportunity in Capsule, with the client’s details carried across. It is a tidy workflow and it is worth being careful about, because Capsule’s own integration page does not describe it. What the page describes is contacts and suppliers being added to Xero from Capsule, and invoice, due date, payment status and estimate data being visible in Capsule.
Treat invoice-raising as something to confirm in the product rather than a documented feature, and do not upgrade on the strength of it. If closing a deal and raising the invoice in one motion is the thing you actually want, test it in a trial before committing.
Setting It Up
- In Capsule, open Account Settings
- Go to Integrations and find Xero
- Click Connect, which redirects you to Xero
- Sign in to Xero and authorise access to your organisation
- You are returned to Capsule with the integration active
Existing records then need linking. New contacts pushed from Capsule will create or match in Xero, but anything already sitting in both systems needs a one-time matching pass. With a few hundred contacts that is an afternoon; with several thousand it is a project, so plan for it rather than discovering it.
Worth doing the matching properly, because a duplicated contact in Xero is a wrong address on an invoice later. If your contact data is messy going in, clean it first — our guide to migrating from spreadsheets to a CRM covers the deduplication and formatting work that makes this painless.
Where It Earns Its Keep
Chasing Overdue Payments
The honest case for the integration is this one. Having payment status in front of you in the CRM, at the moment you are about to contact someone, means chasing happens as part of the conversation you were having anyway rather than as a separate admin task you keep deferring.
What You Can Actually Charge on a Late Invoice
Since the integration’s main benefit is seeing overdue invoices, it is worth knowing what you are entitled to when you find one.
Under the Late Payment of Commercial Debts (Interest) Act 1998, a UK business can charge statutory interest on overdue business-to-business invoices at 8 percentage points above the Bank of England base rate, as simple interest. With the base rate at 3.75% that is 11.75% a year, and it moves with the base rate.
You can also claim a fixed sum per overdue invoice:
- £40 on debts up to £999.99
- £70 on debts from £1,000 to £9,999.99
- £100 on debts of £10,000 or more
This applies automatically to business and public sector customers even where your contract says nothing about interest. If your contract does specify a late payment rate, that rate takes precedence. And where no payment date was agreed, the default is 30 days from receipt of the invoice or delivery of the work, whichever is later.
Most small businesses never invoke this, and simply knowing it exists changes the tone of a second reminder.
Reducing Double Entry
Because contacts flow from Capsule to Xero, you stop maintaining two address books. It reduces duplication rather than eliminating it, and only if everyone respects the one-way rule above.
Making Tax Digital: What This Touches
Neither tool’s integration has anything to do with your filings, and it is worth separating the two clearly.
Xero handles your Making Tax Digital submissions. Capsule has no role in them. What the integration contributes is cleaner attribution of income to the right client, which makes your bookkeeping tidier rather than your filing compliant.
The reason to care more than you used to: MTD for Income Tax has applied since 6 April 2026 to sole traders and landlords with qualifying income above £50,000, with the threshold falling to £30,000 in April 2027 and £20,000 in April 2028. If you are in scope, you now have quarterly update deadlines of 7 August, 7 November, 7 February and 7 May, plus a Final Declaration by 31 January. More frequent deadlines make messy records more expensive, which is the real argument for keeping contact data aligned.
MTD for VAT is separate and already applies across the board if you are VAT-registered. Our guide to VAT for UK sellers covers the registration and threshold side.
Limitations Worth Knowing
- Contact sync is one way. Capsule is the source; edit there, not in Xero
- Existing records need manual matching, which is a real time cost on a large database
- Not available on the free plan, though Starter at £14 is the entry point rather than anything dearer
- Invoice creation from an opportunity is not documented by Capsule, so verify it before relying on it
- It is a visibility layer, not an accounting workflow. Your bookkeeper still works in Xero
- It will not fix a messy contact database. It will propagate one
FAQ
Which Capsule plan do I need for the Xero integration?
Starter, at £14 per user per month on annual billing, and it is also on Growth, Advanced and Ultimate. It is not on the free plan. Claims that it requires a “Professional” plan at £18 are mistaken — Capsule has no Professional tier.
Does the integration sync contacts both ways?
No. It is one way, from Capsule to Xero, with Capsule treated as the source for contact data. Invoice, due date, payment status and estimate information from Xero is displayed in Capsule, but contact edits made in Xero are not synced back. Make contact changes in Capsule.
Can I raise a Xero invoice from a Capsule opportunity?
Capsule’s integration page does not describe this, although it is widely claimed. Test it during a trial before upgrading for it.
What Xero information appears on a Capsule contact?
A summary of invoices, payment due dates, whether invoices are paid, overdue amounts and any estimates issued.
Will it help with Making Tax Digital?
Not directly. MTD submissions happen in Xero. The integration keeps income attributed to the right client, which makes the bookkeeping cleaner, and that matters more now that MTD for Income Tax brings quarterly deadlines for those above £50,000 of qualifying income.
Does it work with suppliers as well as customers?
Yes. The sync can push supplier records to Xero as well as customers, which is useful if you want one address book across both systems.
Capsule CRM Xero Integration: The Bottom Line
It is a visibility layer, and a good one. Invoice status, due dates, overdue amounts and estimates against the contact record, which means you stop switching tabs and start chasing payments as part of conversations you were already having.
Two things to get right. It is available from Starter at £14, not from a nonexistent Professional tier at £18, so the upgrade question is much smaller than usually presented. And the contact sync runs one way, Capsule to Xero, so Capsule has to be where contact edits happen or you will create discrepancies rather than remove them.
Do the existing-record matching properly when you switch it on, tell whoever does your books about the one-way rule, and treat invoice creation from an opportunity as unverified until you have seen it work in your own account.
